The Role:
As an Installation Coordinator, you will be responsible for the logistical and labor coordination of all installation jobs, including scheduling, job move-ups, and working closely with production group leaders to align resources effectively. You will create project folders, order Class II parts, schedule installation dates with customers, and update and release orders while coordinating job scheduling in collaboration with the Custom Committee. This role requires strong communication with installation technicians, participation in field measurements and take-off meetings, and acting as a key liaison between the Sales and Production teams. You'll manage Class III extrusion orders, coordinate expedite slots and maintain ongoing relationships with end-users in the Healthcare and Retail sectors, as well as with general contractors, subcontractors, architects, and suppliers. Additionally, you'll partner with the District Sales Department to determine appropriate labor hours for each job. Project Coordination & Administration Coordinate all installation jobs including scheduling, labor planning, and job prioritization Manage job move-ups and preferred scheduling with internal teams Create project folders and ensure accurate order entry and release Work closely with the Custom Committee to ensure job accuracy Act as a liaison between Sales, Production, and Installation teams Maintain frequent communication with installation technicians and customers Partner with Sales to determine labor hours for projects Field & Technical Responsibilities Review blueprints, shop drawings, and specifications to ensure accuracy of orders Use field measurements and tape measure verification to confirm installation requirements Conduct site visits to measure openings and validate job readiness Participate in take-off meetings and customer discussions Warehouse & Operational Support Assist with warehouse operations when needed, including: Receiving incoming shipments Unloading trucks Pulling and staging materials for jobs Maintain inventory accuracy and ensure materials are ready for installation teams Operate warehouse equipment (including forklift, if certified) Customer & Relationship Management Deliver strong customer service and communication throughout the project lifecycle Build relationships with: End-users (Healthcare & Retail) General Contractors and Subcontractors Architects and Suppliers Provide updates and resolve issues to ensure customer satisfaction General Responsibilities Maintain a highly organized workflow across multiple projects Support overall office and operational needs in a small-team environment Contribute wherever needed to ensure successful project execution and team support
What You Will Need:
  • 5+ years of experience in installation coordination, construction, or related field
  • Background in project coordination, customer service, administration, and/or warehouse operations preferred
  • Strong organizational and multitasking skills
  • Ability to read and interpret blueprints and shop drawings
  • Excellent communication skills with both customers and internal teams
  • Comfortable working in a fast-paced, high-responsibility role
  • Ability to work independently in a standalone office/warehouse setting
  • Ability to interact well with different employees and personalities.
  • Possess the flexibility to work a varying schedule (different hours of the day and weekends if necessary).
  • Efficient in Baan, Word, Excel and PowerPoint.
