We run on clear roles, documented processes, and people who take ownership of their lane. The role The Project Coordinator is the control point for every active job in the office. You keep the job file complete, the schedule moving, the insurance/carrier portals current, and the paperwork ahead of the work, so Project Managers can stay on job sites instead of behind a desk. If you're the person who notices the missing signature before anyone asks for it, who keeps six moving schedules straight without dropping one, and who is a little bothered by an incomplete file, this seat was built for you. What you'll own Job files. Every active job is set up correctly, documented completely, and current in our project management system (DASH) from day one to close. Scheduling. Coordinate subcontractors, materials, inspections, and customer appointments against the plan the Project Manager sets. Chase the confirmations. Flag the conflicts early. Carrier and program compliance. Keep XactAnalysis, Symbility, and carrier portals updated within required timelines. Upload photos, notes, and documents. Protect our carrier scorecards. Paperwork. Prepare work authorizations, change orders, certificates of completion, and draw requests for signature, and make sure signed copies land in the file. Communication. Handle logistics and document calls from customers, adjusters, and subs. Give clear, timely status updates. Route judgment calls (scope, pricing, disputes) to the Project Manager rather than making them yourself. Handoffs. Receive complete intake packets from the front office, and deliver close ready files (signed completion, supplements resolved, sub invoices in) to accounting for billing. Subcontractor readiness. Confirm insurance, W9s, and agreements are on file before a sub is scheduled. What you'll bring 2+ years in a coordination, scheduling, or administrative role where you managed multiple concurrent projects. Restoration, construction, property management, or insurance claims experience is a strong plus. Comfort living in software all day. Experience with a job management platform (RMS/DASH, Xactimate, XactAnalysis, Symbility, or similar) is preferred; if you learn systems fast, we'll train you. Written communication that's clear and professional, because most of what you send goes to customers and adjusters. Organized to a fault, calm under volume, and honest about what's stuck.
