Position Summary Hunter Excavating is seeking a dependable, organized, and detail-oriented Project Coordinator to provide administrative support to our Operations and Project Management teams. This part-time position plays an important role in keeping projects organized by managing documentation, preparing proposals, tracking deadlines, maintaining project information, and supporting day-to-day office operations. This is primarily an administrative coordination role, not a project management position. The successful candidate will help keep projects moving by ensuring information is organized, documentation is complete, and communication is timely.
Schedule:
Approximately 20 hours per week with flexibility based on business needs. Essential Responsibilities Proposal & Administrative Support Read and review Requests for Proposals (RFPs) and bid documents. Prepare, edit, proofread, and distribute proposals and supporting documents. Organize electronic project files and maintain accurate records. Track proposal deadlines, project milestones, and required documentation. Maintain project files, correspondence, and document templates. Coordinate and schedule meetings, appointments, and project-related calendars for project managers and office staff. Project Coordination Maintain project information within company software platforms, including Pipedrive , Trello , and Microsoft 365. Update project status and workflow as information is received. Monitor deadlines and remind team members of upcoming deliverables. Communicate with Project Managers and coordinators regarding priorities and outstanding items. Assist with collecting project documentation and closeout information. Customer & Office Support Professionally answer phones and respond to customer inquiries. Communicate with customers, vendors, municipalities, and business partners by phone and email. Welcome visitors and provide general office support. Assist with document preparation, filing, scanning, and data entry. Support office staff with administrative projects and other duties as assigned. Qualifications High school diploma or equivalent required. Previous administrative, office, or project coordination experience preferred. Experience in construction, excavation, paving, engineering, or municipal contracting is helpful but not required. Physical Requirements Ability to sit and work at a computer for extended periods. Ability to occasionally lift or carry up to 20 pounds.
