Job Title:
Project Coordinator (HVAC / Controls) Job Description The Project Coordinator (HVAC / Controls) plans, coordinates, and directs service operations to support field teams and successful project delivery. This role acts as a key liaison between customers, Project Managers, and Field Technician Supervisors, ensuring efficient scheduling, effective resource allocation, accurate documentation, and consistently high levels of customer satisfaction. The position is well suited to a highly organized professional with strong communication skills and familiarity with HVAC, controls, or building systems. Responsibilities Coordinate and schedule service resources, including technicians, subcontractors, materials, and equipment, based on project needs, skill sets, and availability. Dispatch Controls Technicians and HVAC Technicians in close collaboration with Project Managers and Field Technician Supervisors. Generate work orders and accurately input project and job information into internal systems to ensure thorough and up-to-date job tracking. Serve as a primary point of contact for customers, building strong relationships and ensuring satisfaction throughout the duration of each project. Review and process project documentation, including completed service calls, and route information to Project Administration as required. Track service start-ups and ongoing work requirements using job management systems to maintain visibility into project status and progress. Coordinate with internal departments such as Parts and Procurement to ensure timely support of operational and project needs. Investigate customer concerns by routing issues to the appropriate team members and following through until resolution is achieved. Generate, interpret, and distribute reports related to service operations and performance to support decision-making and continuous improvement. Support operational needs with flexibility to work overtime or weekends when required to meet project and customer demands. Essential Skills 3-5+ years of related experience in service coordination, dispatch, project coordination, or construction operations, or an equivalent combination of education and experience. Demonstrated experience with service dispatching or scheduling in a fast-paced environment. Strong communication skills, with the ability to read, write, and effectively present information to customers, team members, and leadership in one-on-one and small group settings. Customer-focused mindset with strong interpersonal skills and a commitment to delivering a high level of customer satisfaction. Proven organizational and coordination abilities, including managing multiple priorities, schedules, and resources simultaneously. Practical problem-solving skills, with the ability to apply reasoning to resolve issues involving multiple variables in standardized situations. Mathematical aptitude, including the ability to perform basic arithmetic, compute rates and ratios, and interpret data such as charts and reports. Working knowledge of Microsoft Office and general office systems. Experience with project administration, project coordinating, dispatch, HVAC service, scheduling, and project documentation. Valid driver's license to support occasional site visits. Additional Skills & Qualifications Experience in project coordination, project management, administration, document control, administrative support, and construction administration. One-year certificate from a college or technical school is preferred but not required. Familiarity with HVAC systems, controls, or building systems in a service or construction environment. Ability to generate, interpret, and distribute operational and performance reports. Comfort working with job management systems and internal databases for tracking service start-ups and ongoing work. Work Environment The Project Coordinator (HVAC / Controls) works in a professional office environment that supports field-based HVAC and controls service operations. The role relies heavily on computer-based tools, including Microsoft Office, general office systems, and job management platforms for scheduling, dispatching, documentation, and reporting. The position involves regular interaction with Project Managers, Field Technician Supervisors, technicians, and internal departments such as Parts and Procurement, as well as frequent communication with customers by phone and email. Occasional site visits may be required, supported by a valid driver's license. Work hours are primarily standard business hours, with the flexibility to work overtime or weekends when operational needs or project deadlines require it. Attire is generally professional and appropriate for an office setting, with suitable adjustments for site visits as needed. Job Type & Location This is a Contract to Hire position based out of Bellevue, WA. Pay and Benefits The pay range for this position is $25.00 - $28.00/hr. Eligibility requirements apply to some benefits and may depend on your job classification and length of employment.
