GeoTility is looking for a motivated and technically capable Project Coordinator to join our team in Issaquah, Washington. At GeoTility, we have dedicated ourselves to being an industry leader by providing high-quality geothermal systems, technical expertise and project execution to our clients. Our team has completed hundreds of geothermal projects ranging from residential installations to large commercial and institutional systems. This position will work closely with a Project Manager as well as with field teams, subcontractors, vendors and clients to support the successful planning and execution of commercial geothermal projects throughout Washington and the Pacific Northwest. The role is well suited to someone who enjoys a combination of construction coordination, technical problem-solving and field involvement, and who is interested in developing toward a future Project Management position. Your Role Will Include Support Project Managers in the planning and execution of geothermal projects from pre-construction through project completion and closeout. Assist with field layout and coordination for geothermal drilling and geothermal system installations. Review project drawings, specifications, equipment documentation and other construction documents. Assist with design coordination and communicate required field revisions between Project Managers, field staff and other project stakeholders. Perform AutoCAD and/or Bluebeam work for project coordination, material takeoffs, layouts and as-built/record drawings. Assist with onsite survey, layout and as-built documentation. Track project schedules, milestones and field productivity and communicate changes or potential delays to the Project Manager. Assist with project cost tracking, forecasting and reporting. Support preparation and management of project documentation including RFIs, submittals, shop drawings, purchase orders, change orders and closeout documentation. Assist with procurement of project materials, equipment, subcontractors and rentals. Compile material lists, obtain vendor quotations and assist with purchasing recommendations. Coordinate with vendors and subcontractors to ensure materials and services are available when required. Follow up with field staff on required paperwork, packing slips, receipts, installation records and project documentation. Maintain organized and accurate project files and records. Compile installation logs, testing documentation, photographs, commissioning records and other information required for project closeout and final submittals. Provide technical and administrative support during construction, installation, startup, commissioning and troubleshooting. Perform project site visits and field reviews as required. Assist with QA/QC inspections to verify installation quality and compliance with project requirements. Observe field productivity and project challenges and communicate findings to the Project Manager. Identify project issues, risks or coordination conflicts and assist in developing practical solutions. Interface professionally with General Contractors, Mechanical Contractors, clients, consultants, vendors, subcontractors and GeoTility field staff. Support coordination of project-related travel, accommodations and logistics when required. Assist with continuous improvement of GeoTility's project-management systems, processes and documentation. Provide additional office and field support to the Project Management team as required. What We're Looking For We are looking for someone who is organized, technically capable and comfortable working in both an office and construction-site environment. Ideally, you will have: A Bachelor's degree in Mechanical, Civil, Electrical, Chemical, Petroleum, Geothermal, Energy or another relevant engineering or construction-related discipline; or An Associate degree combined with relevant commercial construction or project coordination experience. Experience supporting construction, engineering or technically complex projects. The ability to read and interpret construction drawings, specifications and technical documentation. Strong organizational skills and the ability to manage multiple priorities and deadlines. Strong written and verbal communication skills. Good analytical and problem-solving abilities. Strong attention to detail and follow-through. Advanced proficiency with Microsoft Office, particularly Excel. Advanced proficiency with Bluebeam. Moderate to Advanced proficiency with AutoCAD or similar drafting/design software. The ability to work effectively with Project Managers, field personnel, contractors, vendors and clients. The ability to work independently, take initiative and follow issues through to resolution. A valid driver's license and the ability to travel to project sites as required. Assets The following would be considered an advantage: Experience with commercial or institutional construction projects. Experience working with General Contractors and Mechanical Contractors. Previous project coordination or Project Engineer experience in construction. Experience with geothermal, HVAC, mechanical, civil, drilling or underground construction. Experience preparing or managing RFIs, submittals, change orders, shop drawings and closeout documentation. Experience with project cost tracking, forecasting and scheduling. Field layout, survey or as-built documentation experience. Experience with construction QA/QC or field inspections. Familiarity with project-management software and construction document-control systems. Direct geothermal experience is not required. What Success Looks Like A successful Project Coordinator will: Keep project documentation accurate, organized and current. Help Project Managers identify schedule, cost and procurement issues before they affect field operations. Ensure RFIs, submittals and other project documentation are completed and tracked in a timely manner. Maintain good communication between the office, field teams, subcontractors and clients. Support accurate project cost and productivity tracking. Help maintain quality and technical compliance in the field. Take ownership of assigned responsibilities and follow issues through to completion. Develop the knowledge and experience required to take on increasing project-management responsibility.
