Job Description

Alair Homes Green Bay We're hiring a Project Coordinator because we've grown to the point where project execution needs a true owner on the production coordination side. Active construction projects generate a constant flow of moving pieces — trade bids, material orders, schedules, change orders, and vendor coordination. Project Managers own the success of the project. This role exists to make sure the systems, details, and day-to-day coordination fully support that success. Not the person who shows up to put out fires. The person who builds and runs the systems so the fires don't start. What You'll Do Keep our project management system accurate, organized, and current — every day — and help hold the team accountable to keeping information up to date Drive the contract-to-job-start workflow so projects launch cleanly Support the trade bid and material quoting process by organizing, tracking, and following up on bids based on direction from the Project Manager Compile and organize bid information into clear comparisons and sign-off documentation for decision-making Track material orders through to confirmed jobsite delivery, supporting both Project Managers and Site Supervisors Coordinate vendor agreements, scopes, and documentation to ensure alignment with project needs Maintain and track vendor compliance requirements (insurance, contracts, documentation) Support Site Supervisors with specialty material orders and act as a consistent, reliable point of contact from the office Coordinate change order development alongside Project Managers Develop and run Weekly Job Health meeting agendas based on the needs of each project, and track key follow-ups and measurables Support the team in producing consistent weekly progress updates for trade partners Execute project-level warranty coordination and client invoicing Review daily time entries across the production team for accuracy Support pre-construction efforts, including feasibility tracking, sales recaps, and contract coordination How the Role Fits Project Managers own the success of the project — budget, client experience, and overall outcomes. Site Supervisors own field execution — quality, site progress, and day-to-day jobsite coordination. This role supports both by owning the systems, coordination, and flow of information that keep projects organized and moving forward. You are responsible for how the workflows — not the final project decisions. You'll report to our Integrator/General Manager for role clarity and development, and partner closely with Project Managers and Site Supervisors on day-to-day execution.
