POSITION DESCRIPTION
The Portfolio Manager is responsible for maintaining strong client and landlord relationships and representing clients in all day-to-day aspects of commercial building ownership. This is a highly involved role encompassing all facets of managing a portfolio of commercial properties — industrial, office, and retail — while providing training, support, and guidance to property managers, and partnering with accounting representatives and leasing agents to deliver the highest level of service to our clients. The scope of this role includes tenant relations, capital project bidding, vendor selection and coordination, property maintenance, physical inspections, tenant improvement (T.I.) oversight, collections, financial reporting, lease provision enforcement, lease file maintenance, and various accounting and administrative functions.
KEY RESPONSIBILITIES
Provide comprehensive support to property owners and clients, including monthly financial reports, annual budgets, CAM reconciliations, and tenant support Monitor, coordinate, and oversee interior and exterior property maintenance, including budget approval, scope of work, vendor bidding, project management, lien management, and payment processing Build and maintain tenant relationships across industrial, office, and retail properties, including rent collection, improvement projects, and move-in/move-out coordination Coordinate and manage tenant improvement projects, ensuring all work is approved by property owners and consistent with lease agreements Prepare annual property budgets and CAM reconciliations Coordinate with listing agents on new leases and lease renewals
ESSENTIAL DUTIES AND RESPONSIBILITIES
(Other duties may be assigned.) Portfolio Oversight & Operational Leadership Demonstrate business acumen and a clear understanding of fee structures and profitability requirements for your assigned commercial portfolio Draft and manage professional correspondence and maintain organized records Oversee insurance certificate compliance for tenants and vendors Serve as the primary point of contact for calls and visitors, ensuring efficient and professional communication Prepare and distribute monthly financial and statistical reports with executive-level narratives Monitor utility usage and conduct monthly property inspections, delivering detailed site reports Ensure property checklists are consistently updated and accurate Accounting Oversight Accounts Receivable Lead annual CAM reconciliations and budgeting processes Review monthly postings, approve adjustments, and ensure timely submission of rent rolls and financial reports Collaborate with Property Managers to resolve tenant account discrepancies Accounts Payable Approve invoices and review financial packages prior to owner distribution Manage vendor and tenant disputes with professionalism and accuracy Lease Administration Abstract new and renewal leases and ensure accurate data entry into Yardi Process all tenant documentation promptly and accurately General Maintain proactive communication with leadership regarding property issues, changes, and owner requests Make sound, informed decisions with the confidence and ability to explain and enforce them Demonstrate flexibility, adaptability, and composure when shifting between priorities and managing competing demands Enjoy working with people and find genuine satisfaction in supporting clients, tenants, and colleagues
SKILLS & REQUIREMENTS
Active Arizona Real Estate License (required) Minimum of 5 years of commercial property management experience, with exposure to industrial, office, and/or retail assets Exceptional organizational skills — critical for success in this role Effective oral and written communication skills Working knowledge of accounting and finance as it relates to commercial property management Proficiency in Microsoft Word, Excel, Outlook, and Teams; general computer and office technology literacy Experience with Yardi (required) Bachelor's degree (BA/BS) preferred; commensurate experience will be considered Responsive, professional, and positive in interactions with clients, tenants, vendors, and coworkers Prior supervisory or managerial experience a plus; this role may include directing a small team of property managers supporting your portfolio
