Key Responsibilities This position works closely with the Property Manager to support the day-to-day operational and financial performance of a portfolio of commercial properties. The ideal candidate is proactive, organized and comfortable managing multiple priorities. This individual should be able to work independently, exercise sound judgment, take ownership of assigned responsibilities and collaborate effectively with team members, tenants, vendors and property owners.
  • Code invoices accurately, research and resolve discrepancies, and obtain lien releases when required.
  • Prepare, review and analyze monthly financial statements and assist with explaining budget, expense and collection variances.
  • Review scheduled charges and tenant account information for accuracy.
  • Assist with annual operating budgets, capital expenditure planning and CAM reconciliations.
  • Collect and review tenant gross sales information and calculate percentage rent.
  • Track rent increases, tenant improvement allowances, bill-backs and other tenant account adjustments.
  • Prepare lease abstracts and assist with ongoing lease administration.
  • Review tenant aging reports, communicate with tenants regarding outstanding balances and prepare collection notices at the Property Manager's direction.
  • Respond professionally and promptly to tenant questions and service needs.
  • Process tenant move-in and move-outs.
  • Support positive tenant relationships and retention efforts.
  • Obtain and compare vendor proposals to support competitive pricing and quality service.
  • Review proposals and provide recommendations to the Property Manager.
  • Coordinate vendor services, projects and property-related work.
  • Serve as a primary contact for vendors during approved projects and service assignments.
  • Monitor work orders and service requests through completion.
  • Participate in property inspections and site visits to help oversee vendor performance and project progress. Qualifications
  • Three to five years of relevant experience, preferably in commercial property management.
  • Experience supporting retail, office, industrial or mixed-use properties.
  • Strong understanding of commercial lease administration and property accounting processes.
  • Experience with budgets, financial statements, CAM reconciliations, collections and invoice coding.
  • Strong mathematical, analytical, written and verbal communication skills.
  • High level of organization, accuracy and follow-through.
  • Ability to prioritize multiple responsibilities and meet deadlines in a deadline-driven environment.
  • Proficiency in Microsoft Outlook, Word, Excel, Teams and OneDrive.
  • Ability to learn new property management and accounting systems quickly (Preferred experience with MRI and Avid).
  • Valid driver's license and reliable transportation for property visits.
