We are an established, privately owned real estate company seeking an experienced President / Head of Property Management to lead our in-house property management operation. Unlike a traditional third-party property management company, we manage only properties owned by affiliated entities. There are no outside property owners or third-party clients to manage or solicit . The focus of this position is entirely on operating our portfolio effectively, improving property performance, leading our team, and building scalable systems and accountability throughout the organization. The President / Head of Property Management will oversee a property management organization of approximately 20 employees , including: 3 junior/in-field Property Managers Maintenance Coordinator Approximately 6 Maintenance Technicians 3 Leasing Professionals 3 Offshore Administrative Assistants Additional administrative and operational personnel This is a hands-on leadership position for someone who understands multifamily property management from the ground up and is equally comfortable managing people, reviewing financial performance, improving processes, and solving day-to-day operating problems. Key Responsibilities Leadership & Team Management Lead, manage, and hold accountable a team of approximately 20 employees across property management, leasing, maintenance, and administration. Establish clear responsibilities, performance expectations, KPIs, and reporting standards for each department and team member. Recruit, train, mentor, and develop employees while creating a culture of accountability, urgency, professionalism, and continuous improvement. Conduct regular management and operational meetings and ensure priorities are being completed on schedule. Identify staffing weaknesses and make organizational changes when appropriate. Property Operations Oversee the day-to-day management of the residential portfolio, including leasing, tenant relations, maintenance, unit turns, inspections, collections, and property condition. Ensure properties are operated efficiently while maintaining appropriate standards for tenant service, cleanliness, safety, and maintenance. Develop systems to identify problems before they become larger or more expensive issues. Oversee unit turnover and ensure vacant units are completed and leased as quickly and cost-effectively as possible. Monitor work orders, preventative maintenance, capital repairs, vendor performance, and maintenance technician productivity. Leasing & Revenue Management Manage the leasing team and establish leasing goals, response-time standards, follow-up procedures, and performance metrics. Monitor vacancy, days-on-market, leasing velocity, concessions, renewals, and rent collections. Work with ownership to identify opportunities to improve rents, occupancy, and overall property revenue. Ensure leasing activity and resident communication are properly documented within AppFolio. Financial & Performance Management Review monthly property operating results and identify significant budget variances or performance issues. Understand property-level income statements, operating expenses, rent rolls, delinquency, vacancy, maintenance expenses, and capital expenditures. Develop and maintain operating budgets and assist ownership with forecasting. Identify opportunities to reduce unnecessary operating expenses without negatively affecting the properties. Develop dashboards and KPIs that allow ownership and management to quickly understand portfolio performance. Systems, Processes & Technology Strong previous experience with AppFolio is required. Ensure AppFolio is being used consistently and correctly throughout the organization. Develop and document standard operating procedures for major property management functions. Look for opportunities to automate repetitive administrative processes and improve workflow through technology. Improve the use of offshore administrative personnel by establishing clear processes, responsibilities, training, and performance measurements. Create scalable systems that allow the portfolio to grow without requiring a proportional increase in staffing. Compliance & Risk Management Maintain familiarity with applicable landlord-tenant laws, Fair Housing requirements, habitability standards, leasing documentation, and property management compliance. Ensure leases, notices, inspections, resident documentation, maintenance records, and other property records are properly maintained. Work with attorneys, insurance representatives, contractors, and other professionals when necessary.
