X&L Healthcare Management LLC is a privately owned management company that provides administrative and operational support for affiliated healthcare and commercial real estate businesses in California. We are seeking a dependable, organized, and experienced Property & Operations Administrator to support the day-to-day administration, accounting, tenant coordination, and property operations for a privately owned commercial real estate portfolio of approximately 29 units across two properties . This position is ideal for someone who is comfortable working independently, takes ownership of tasks, follows through without constant supervision, and can serve as the central administrative point of contact between ownership, tenants, leasing agents, maintenance personnel, vendors, contractors, and accountants. XLHM manages medical and dental office properties and supports day-to-day property operations, including: Commercial leasing administration Rent collection and rent tracking Tenant communication Lease and tenant record management Property accounting and QuickBooks Vendor invoice and payment coordination Maintenance and repair coordination Communication with leasing agents, contractors, and property maintenance personnel Insurance, utility, license, and property record management Financial and operational reporting for ownership We are a small, hands-on organization looking for reliable professionals who can work independently, maintain accurate records, communicate professionally, and take ownership of their responsibilities. Key ResponsibilitiesAccounting & Financial Administration Maintain QuickBooks and accurate property accounting records Record income and expenses Track monthly rent payments and outstanding balances Perform monthly bank and account reconciliations Process invoices and vendor bills Maintain vendor payment records Prepare monthly property financial reports for ownership Maintain organized supporting documentation for the CPA/accountant Track utilities, insurance expenses, property taxes, mortgages, and other recurring property expenses Maintain security deposit records and reconciliations Tenant & Lease Administration Maintain complete tenant and lease files Track lease commencement dates, expiration dates, renewals, options, and rent increases Maintain a lease-expiration and critical-date calendar Communicate professionally with tenants regarding administrative and property matters Coordinate with leasing agents regarding renewals, vacancies, and tenant issues Maintain certificates of insurance and other required tenant documentation Track tenant requests and follow through until resolution Property Operations Coordinate with maintenance managers regarding repairs and property needs Track maintenance requests and completion status Coordinate outside contractors and vendors Obtain proposals and supporting documentation when requested Schedule property inspections, service appointments, and required maintenance Maintain vendor, contractor, insurance, inspection, permit, license, and certificate records Track utilities and recurring service contracts Maintain organized electronic property files Administrative Support Serve as the central administrative contact for the properties Maintain accurate calendars, files, records, and follow-up lists Communicate with ownership regarding outstanding matters and upcoming deadlines Work directly with the CPA, leasing agents, maintenance personnel, insurance brokers, vendors, and other professionals Identify unresolved issues and follow through proactively Assist ownership with additional real-estate-related administrative and operational matters as needed Qualifications Prior experience in property administration, commercial property management, bookkeeping, accounting support, or real estate operations Strong working knowledge of QuickBooks Online or QuickBooks Desktop Experience with bank reconciliations, accounts payable, rent tracking, and financial recordkeeping Strong Microsoft Excel, Word, email, and document-management skills Excellent organizational and follow-up skills Strong written and verbal communication Ability to manage multiple deadlines and priorities Detail-oriented and comfortable working independently Professional when communicating with tenants, vendors, brokers, and contractors High degree of confidentiality and reliability Commercial property management or medical/dental office property experience is preferred but not required. What We Are Looking For We are specifically looking for someone who: Takes ownership of assigned responsibilities Is reliable and consistent with work hours Keeps accurate records Follows through on open items without repeated reminders Can identify problems and bring them to ownership's attention Communicates clearly and professionally Is comfortable working in a small-business environment Can gradually take over a substantial portion of the owner's property-related administrative workload This is not simply a data-entry bookkeeping position . The successful candidate will combine bookkeeping, property administration, tenant coordination, and operational follow-through.
