Assistant Property Manager / Office Manager Clear Blue Commercial | Full-Time | On-Site Clear Blue Commercial, a certified green, woman-owned, B Corp commercial real estate firm dedicated to saving the planet and making the world a better place, is looking for an organized, passionate, detail-driven professional to step into a hybrid Assistant Property Manager / Office Manager role. You'll be the right hand to our Property Manager and Managing Director — keeping day-to-day operations at our commercial properties running smoothly, and keeping the front office humming behind the scenes. If you love building systems, staying two steps ahead, and being the person everyone counts on, we want to hear from you. Our office is located in beautiful Petaluma, California and we manage properties throughout Marin and Sonoma Counties, with a key account in the Sacramento area. What You'll Do Property Management Support the Property Manager with the day-to-day operations of commercial properties, following all company policies and applicable federal and state regulations. Maintain accurate tenant records — rents, deposits, notices — and prepare daily, weekly, and monthly reports. Walk the property regularly to check on grounds, move-outs, and vacancies, and flag maintenance needs.
Manage leasing and tenant retention:
meet prospective tenants, show suites, prepare leases, and handle renewals and terminations. Track market conditions and bring ideas to the table for marketing and tenant satisfaction. Keep leasing paperwork, move-in/move-out files, and service requests organized and followed through to completion. Office & Executive Support Manage the CEO's calendar and communications, prioritizing what matters and keeping everything on schedule. Run the front office — phones, mail, visitors — with a professional, welcoming touch.
Handle day-to-day admin:
filing systems, supplies, invoices, purchase orders, and meeting minutes. Oversee office facilities and equipment, from copiers to office supply budgets. Plan and coordinate meetings and company events, from logistics to follow-up on action items. Build and maintain systems for lead generation, database management, and back-office support. Support core financial tasks — bookkeeping, bill pay, payroll support, budget tracking, and financial reporting. Create and maintain an operations manual documenting our systems and standards. Be a first point of contact for customer questions and concerns. What You Bring 2+ years of office experience Strong written and verbal communication skills Excellent organization and project management abilities Basic bookkeeping skills Comfort with MS Word and everyday office technology A calm, focused presence — someone who can dig into a task and see it through A service-first attitude and professional presentation Real estate license and/or contract experience a plus Experience managing or coordinating staff a plus Good to Know Primarily an office environment, with regular walks around the property — occasional outdoor or light construction-area exposure. Frequently on your feet or seated; occasionally lifting files/supplies up to 10 lbs. Reports to the Managing Director. Salary range is $70K - 75K depending on experience. Ready to Apply?
