Assistant Property Manager | Condo & HOA Portfolio Concierge Property Solutions, LLC is seeking an experienced, highly organized, and professional Assistant Property Manager to support the management of a diverse portfolio of condominium and homeowners' associations. This is an important role within our property management team. The successful candidate will work closely with the Property Manager while also taking ownership of day-to-day responsibilities, communicating directly with residents and Board members, coordinating with vendors, and making sound decisions when issues arise. We are looking for someone who doesn't simply wait to be told what to do. The ideal candidate is a self-starter who notices what needs to be done, follows through, communicates proactively, and takes pride in keeping the day-to-day operation of a property running smoothly. This position is well suited for someone who enjoys the combination of property management, organization, problem-solving, customer service, and relationship management. What You'll Do Property & Resident Support Assist the Property Manager with the daily operation of a diverse portfolio of condominium associations, HOAs, and commercial properties. Serve as a professional and responsive point of contact for residents, homeowners, tenants, and Board members. Respond to telephone calls, emails, and service requests promptly and professionally. Address routine questions and issues independently and escalate matters appropriately when Property Manager involvement is needed. Track resident and homeowner concerns and follow through until issues are resolved. Identify recurring issues or service trends and bring them to the Property Manager's attention. Vendor & Maintenance Coordination Enter, monitor, document, and close work orders for landscaping, maintenance, housekeeping, and other vendors. Coordinate with vendors, maintenance personnel, and contractors to ensure work is completed appropriately and within expected timeframes. Follow up on outstanding work and communicate status updates to residents, Board members, and the Property Manager. Conduct routine property inspections as directed and report maintenance, safety, or compliance concerns. Board & Community Support Communicate professionally with Board members and assist the Property Manager in responding to Board requests. Attend Board meetings as needed and assist with meeting preparation, materials, notices, and follow-up. Assist with community meetings, events, and other association activities. Prepare and distribute resident communications, notices, reminders, announcements, and newsletters. Post community updates through property management software portals. Administrative & Financial Support Maintain accurate digital property records and documentation using SharePoint. Maintain homeowner and tenant databases, rosters, mailing information, files, and other property records. Assist with owner approval and interview packages and review documentation for completeness. Review receivables and aging reports and assist residents and homeowners with account balance questions. Assist with collection-related matters and coordinate with the Community Association Manager regarding collection packages and legal referrals. Assist with reviewing leases and processing applicable approvals. Prepare, organize, and maintain documents and information needed by the Property Manager. General Responsibilities Maintain confidentiality and exercise sound judgment when handling sensitive resident, financial, and association information. Follow company policies, safety procedures, and applicable laws and regulations. Work independently while keeping the Property Manager informed of important issues, deadlines, and developments. Perform other administrative and operational duties as assigned. What We're Looking For We are looking for an individual who is:

Qualifications Required:
Previous experience in property management, community association management, or a closely related position. Strong written and verbal communication skills. Strong organizational and time-management skills. Ability to manage multiple priorities and deadlines. Ability to work independently and exercise good judgment. Proficiency with Microsoft Office, including Outlook, Word, and Excel.
Preferred:
Community association/HOA/condominium management experience. Experience communicating directly with Board members. Experience coordinating vendors and maintenance. Experience with accounts receivable, collections, owner approvals, or association financial matters. Technology Our team uses technology extensively to manage information and keep our properties organized. Candidates should be comfortable learning and working with systems such as: Microsoft Outlook Microsoft Word Microsoft Excel Microsoft SharePoint Yardi Enumerate DocuSign Canva You should be comfortable learning new technology and using systems consistently and accurately. What Success Looks Like The person who succeeds in this role will become someone the Property Manager can rely on.
You will be expected to:
Keep track of what needs to be done without constant reminders. Follow through on commitments. Communicate before someone has to ask for an update. Recognize problems and bring solutions—not just problems—to the Property Manager. Treat residents, homeowners, Board members, vendors, and coworkers professionally. Maintain accurate records and documentation. Understand that small details matter in property management. Know when to take ownership and when to escalate an issue. Help make the daily operation of the properties hum smoothly.

Travel throughout Palm Beach and Broward Counties is required; mileage is reimbursed in accordance with company policy.
Pay:
$23.00-$26.00 per hour, based on experience and qualifications.
