Manages property and services on behalf of a community association, for properties such as condominiums or cooperatives. Collects fees or dues, responds to requests or complaints, supervises maintenance, oversees work done by contractors, and provides accounting of income and expenses. May also assist owners or a board of directors with regulatory compliance or compliance with community association rules. Manages the operation of commercial or residential properties. Oversees the collection of rents and payment of bills, taxes and insurance for properties, and provides property owners with reports on finances and the status of properties. Directs leasing operations, or equipment and machinery rentals, for a company or business. Determines charges and prepares rental or lease agreements; supervises inventory, equipment maintenance and recordkeeping for leasing operations.

About Us We are a real estate management company operating and managing a diverse portfolio of multifamily apartment buildings, townhouses, commercial shopping centers, and office suites. We are seeking a highly organized, bilingual (English and Spanish) Office Administrator to serve as the central point of contact between our tenants, management team, maintenance staff, and vendors. Position Overview The Property Management Office Administrator plays a key role in the day-to-day operations of our office. You will be the first point of contact for tenants, help coordinate maintenance and work orders, support the management team with move-in/move-out processes, and handle administrative communications. This position requires full fluency in both English and Spanish, with strong verbal and written skills — you will speak with tenants and vendors and prepare letters, notices, and reports in both languages every day. Responsibilities Serve as the primary point of contact for tenants; answer calls, emails, and in-person inquiries professionally and courteously Help resolve tenant requests, questions, and concerns in a timely manner, escalating to management when appropriate Assist tenants with work orders: intake requests, place work orders, track status, and follow up through completion Communicate and coordinate with the maintenance team on open work orders, scheduling, and priorities Communicate with vendors and contractors regarding scheduling, access, quotes, and service follow-ups Work with the management team to facilitate move-in and move-out walkthroughs, including but not limited to completing report checklists and documenting property condition Prepare letters and notices to tenants (e.g., lease notices, violation notices, rent reminders, community updates) in both English and Spanish Prepare and maintain delinquency reports for the management team Contact delinquent tenants by phone, email, and written notice to follow up on outstanding payments Prepare 3-day notices for manager review Take accurate meeting minutes and distribute them to the management team Maintain organized tenant files, records, and correspondence (digital and physical) Support general office administration: filing, data entry, scanning, mail handling, and supply ordering Assist with scheduling appointments, property showings, and vendor visits as needed Assist with leasing activities, including but not limited to showing apartments for rent, responding to rental inquiries, and helping prepare leases and related documents for manager review Requirements Bilingual — English and Spanish (MANDATORY): Strong verbal and written skills in both languages are required. Must be able to speak professionally with tenants and vendors, and write clear, professional letters, notices, and reports in both English and Spanish Experience working in the property management industry (PREFERRED) Excellent interpersonal skills; comfortable speaking with tenants, vendors, and contractors daily Strong organizational skills and attention to detail Ability to multitask, prioritize, and follow through in a fast-paced environment Proficiency with Microsoft Office (Word, Excel, Outlook) and/or Google Workspace Professional demeanor and a customer-service mindset Ability to handle sensitive tenant matters with discretion and confidentiality Reliable transportation; occasional travel between properties for walkthroughs may be required High school diploma or equivalent required Preferred Qualifications (Not Required) 1+ years of experience in real estate or a related administrative role Experience working with both residential and commercial tenants Familiarity with property management software (e.g., AppFolio, Buildium, Yardi, or similar) Experience preparing formal correspondence and notices Notary Public (a plus) What We Offer Consistent Monday-Friday schedule (9 AM - 5 PM), no weekends Health insurance Dental insurance Vision insurance Life insurance 401(k) Paid time off Paid holidays Opportunity to grow with an established real estate portfolio Supportive, team-oriented work environment
Pay:
$50,000.00 - $55,000.00 per year
