Oversees the collection of rents and payment of bills, taxes and insurance for properties, and provides property owners with reports on finances and the status of properties. Directs leasing operations, or equipment and machinery rentals, for a company or business. Determines charges and prepares rental or lease agreements; supervises inventory, equipment maintenance and recordkeeping for leasing operations.

Overview We are seeking a polished, highly organized, and service-oriented Administrative Assistant to support the Property Manager of an upscale luxury high-rise condominium in Highland Beach, Florida. This position is ideal for a professional who enjoys working with residents, board members, contractors, and vendors while helping maintain the high standards expected in a premier residential community. As the first point of contact for residents and visitors, you will play an important role in creating a welcoming, professional office environment while providing administrative support, coordinating daily office operations, maintaining confidential records, and assisting with condominium sales, resident services, and regulatory compliance. Responsibilities Welcome residents, guests, contractors, real estate professionals, and vendors with professionalism and exceptional customer service. Answer and direct multi-line telephone calls, screening calls, emails, and resident inquiries promptly and courteously. Provide administrative support to the Property Manager in the daily operation of an upscale boutique luxury condominium community. Prepare correspondence, notices, meeting materials, reports, and owner communications. Maintain organized electronic and paper filing systems, resident records, contracts, invoices, and official association documents. Assist with processing condominium sales and lease applications, including background screening, document preparation, closing coordination, and maintaining required records. Assist with updating records and documents required under Florida condominium regulations and Department of Business and Professional Regulation (DBPR) requirements. Coordinate appointments with contractors, vendors, inspectors, and service providers. Process invoices, maintain purchase records, and assist with Association accounting service provider. Monitor office supplies and assist in maintaining an efficient, organized office environment. Perform notary services for Association and residence documents as needed. Handle confidential information with discretion, professionalism, and sound judgment. Perform other administrative duties as assigned by the Property Manager. Qualifications Minimum of 3 years of administrative or office experience; condominium, HOA, property management, or real estate experience preferred. Excellent written and verbal communication skills with a professional, polished demeanor. Strong customer service skills and the ability to interact diplomatically with residents, Board members, contractors, and vendors. Advanced proficiency in Microsoft Word, Excel, Outlook, and general computer applications. Exceptional organizational skills with strong attention to detail and accuracy. Ability to prioritize multiple tasks and work independently in a fast-paced office. Ability to maintain strict confidentiality and exercise good judgment. Florida Notary Public certification preferred or willingness to obtain certification. Professional appearance and dependable work ethic.
