Board of Supervisors Position Overview The Concord Station Community Development District (CDD) is seeking a professional, organized, and customer-focused Clubhouse Manager to oversee the daily operations of the community clubhouse and recreational amenities. The Clubhouse Manager will serve as a key point of contact for residents, guests, vendors, contractors, and District representatives. This position is responsible for maintaining a safe, clean, attractive, and welcoming environment while ensuring that the community's facilities and amenities are operated efficiently and in accordance with District policies, procedures, and adopted rules. The ideal candidate will possess strong leadership and communication skills, demonstrate exceptional customer service, and be comfortable balancing day-to-day facility operations with administrative, financial, and resident-relations responsibilities. Essential Duties & Responsibilities Facility & Amenity Management Oversee the daily operation of the clubhouse and associated recreational amenities. Open and close facilities in accordance with established operating procedures. Conduct daily inspections of the clubhouse, pool areas, fitness facilities, restrooms, common areas, and other amenities. Identify maintenance, safety, cleanliness, and operational issues and coordinate appropriate corrective action. Ensure facilities are maintained in a clean, safe, attractive, and functional condition. Monitor compliance with CDD rules, policies, and amenity-use requirements. Maintain accurate facility, maintenance, inspection, and incident records. Resident & Customer Relations Provide professional, courteous, and responsive customer service to residents and guests. Serve as a primary point of contact for clubhouse and amenity-related questions and concerns. Respond to resident complaints and requests professionally and escalate matters when appropriate. Explain and consistently enforce District amenity rules and policies. Maintain a welcoming and professional atmosphere throughout the facilities. Reservations & Community Events Manage clubhouse reservations, facility rentals, and amenity schedules. Coordinate setup and breakdown requirements for private rentals and community activities. Assist with planning, coordinating, and facilitating community events and activities. Maintain accurate reservation calendars and related documentation. Coordinate with vendors and service providers as necessary for events. Vendor & Contractor Coordination Coordinate with landscaping, janitorial, pool, pest control, security, maintenance, and other service providers. Monitor vendor performance and report deficiencies to the District Manager. Assist with obtaining proposals, scheduling services, and coordinating repairs. Verify that contracted services are being performed in accordance with expectations. Maintain records of vendor visits, work performed, and outstanding issues. Administrative & Financial Responsibilities Maintain accurate records relating to facility operations, incidents, reservations, maintenance, supplies, and inventory. Monitor clubhouse and amenity-related expenditures. Assist with preparation and monitoring of the annual amenity operations budget. Maintain appropriate inventory levels and submit purchase requests as authorized. Prepare periodic operational reports for the District Manager and Board of Supervisors. Track recurring maintenance requirements and identify potential capital or operational needs. Maintain organized documentation for District records. Staff Supervision Supervise and coordinate clubhouse, amenity, maintenance, or part-time personnel as assigned. Prepare employee schedules and monitor attendance and assigned duties. Ensure employees properly record hours worked and duties performed. Provide direction, training, and performance feedback to assigned staff. Ensure staff understand and follow District policies, safety procedures, and customer-service standards. Safety & Compliance Conduct regular safety inspections and promptly report hazards or deficiencies. Maintain appropriate incident and accident documentation. Ensure required safety procedures are followed. Monitor compliance with applicable District policies and facility requirements. Maintain required certifications or coordinate staff certifications where applicable. Respond appropriately to emergencies and coordinate with emergency services when necessary.
Qualifications Required:
High school diploma or equivalent. Minimum of five years of experience in facility management, community management, hospitality, recreation, property management, or a related field. Strong customer-service and interpersonal skills. Excellent verbal and written communication skills. Strong organizational and time-management abilities. Ability to work independently while maintaining effective communication with District management and the Board. Proficiency with Microsoft Office and common computer applications. Ability to work evenings, weekends, and holidays when required by facility operations or community events.
Preferred:
Experience working with a Community Development District, HOA, POA, recreation facility, or similar community organization. Supervisory or management experience. Experience coordinating vendors and contractors. Experience with facility reservations and community events. CPR/First Aid certification. Knowledge of pool, recreational, or amenity-facility operations. Deliver professional and responsive customer service. Effectively manage resident concerns and amenity issues. Maintain accurate operational and administrative records. Monitor vendors and ensure contracted services meet expectations. Control expenses and operate within the approved District budget. Communicate effectively with the District Manager and Board of Supervisors. Identify problems before they become significant operational or financial issues. Represent the Concord Station CDD in a professional and positive manner. Physical & Work Requirements This position requires the ability to routinely walk throughout the clubhouse and amenity areas, stand for extended periods, climb stairs, bend, reach, and occasionally lift or move supplies and equipment weighing up to approximately 25-50 pounds. The Clubhouse Manager must be able to work both indoors and outdoors and may be exposed to heat, humidity, rain, and other Florida weather conditions.
