Job Description
Overview As a Community Association Manager, where you'll lead the management and operation of the residential community to ensure aloha, well-maintained, and harmonious living environment. In this role, you'll serve as the primary point of contact for homeowners, lot owners, contractors, and kuleana descendants, fostering positive relationships while overseeing property operations. Your expertise will drive community satisfaction, compliance with regulations, employee moral and proficiency, and an effective administrative processes. This position offers an exciting opportunity to make a meaningful impact on residents', employees, and community through proactive management and exceptional customer service, while practicing and sharing aloha. Responsibilities Manage daily community operations, maintenance coordination, and resident relations to promote a welcoming environment. Work this numerous boards; determine agendas for board meetings, organize board meetings, set up board meetings, provide material packets for meetings, set up and take and prepare minutes for board meetings. Oversee all community management, ensuring all documentation complies with legal standards and company policies. Oversee staff operations; initiate, execute, and maintain employees rights and responsibilities set forth by the presidents of the board. Ensure employees are provided compensations for their duties and tools needed to complete their required tasks. Utilize property management tools such as Jonas to track due collections and financial reports. Administer budgeting processes, monitor expenses, and prepare financial reports to maintain fiscal responsibility. Approve purchasing, invoices, vendor contracts, etc to ensure daily operations of the community. Handle client communication with professionalism via phone etiquette and written correspondence; resolve conflicts effectively through conflict management skills. Coordinate property maintenance activities using facilities management practices; oversee contractors relationships and service contracts. Conduct regular property inspections to identify issues early and ensure safety standards are met. Maintain accurate data entry and filing systems for all lot owner records, legal documents, contracts, incident reports, budget and finance information, employment information, historic site compliance, lot information plans, curation of artifacts, maintenance schedules, shoreline park use permits, descendent access, natural resource use, etc. Lead team management efforts by supervising staff members, providing training opportunities, and fostering a collaborative work environment. Skills Proficiency in property management software such as Jonas, or similar tools for effective operations management. Strong knowledge of legal administrative procedures related to HOAs. Must be extremely organized, detail oriented, and possess ability to plan and manage multiple projects Excellent conflict management skills combined with exceptional customer service abilities to handle resident concerns diplomatically. Proven ability in organizing and overseeing facility projects and upkeeps. Solid background in administrative tasks including budgeting, data entry, filing, and contract administration. Familiarity with property maintenance procedures and facilities management practices to ensure safe living environments. Effective team management capabilities with interpersonal leadership skills to motivate staff and improve operational efficiency. Requires a highly professional demeanor with staff, adaptability, flexibility and adherence to a strict level of confidentiality. Ability to comprehend and carry out verbal and written instructions Strong communication skills with professional phone etiquette for client interactions; adept at client relationship management strategies. Minimum 2 years office administration experience and 6 years work experience Two years college or equivalent professional certification and/or work experience. Some association, administration, and accounting background. Pay:
$100,000.00 - $115,000.00 per yearBenefits:
