  • 46,000 annually Job Summary Gilead Management, LLC is seeking an experienced, organized, and resident-focused Site Manager to oversee the day-to-day operations of St.
Edmund's Tower Annex, a 34-unit affordable senior housing community located on Chicago's South Side. This is a hands-on position responsible for the daily operation of the property, including leasing, annual and interim recertifications, resident relations, rent collection, compliance, maintenance coordination, inspections, and administrative functions . The ideal candidate is comfortable independently managing a small affordable housing community, understands HUD requirements, and can balance excellent resident service with strong organization, compliance, and accountability. Essential Duties & ResponsibilitiesLeasing & Occupancy Responsible for the full leasing process , from application through move-in. Process applications and required eligibility documentation. Manage applicant and waiting-list activity as applicable. Conduct applicant interviews and obtain required verifications. Coordinate unit offers, move-ins, transfers, and move-outs. Prepare and execute leases and required move-in documentation. Conduct move-in and move-out inspections. Market available units and work to maintain strong occupancy. Coordinate with Maintenance to ensure vacant units are turned and ready for leasing timely. Recertifications & Compliance Conduct annual and interim recertifications for residents. Track recertification due dates and issue required notices timely. Obtain and verify income, assets, household composition, and other required eligibility documentation. Complete certifications accurately and within required deadlines. Process resident household and income changes as required. Maintain complete, accurate, organized, and audit-ready resident files . Maintain compliance with applicable HUD and affordable housing program requirements. Prepare resident files for management reviews, audits, and compliance inspections. Property Operations Manage the daily operation of the property and site office. Serve as the primary onsite point of contact for residents. Monitor resident accounts, rent collection, delinquencies, and repayment agreements. Prepare and distribute resident notices and communications. Maintain accurate property reports, logs, occupancy information, and operational records. Process invoices and coordinate with vendors as required. Ensure required information is entered accurately and timely into the property management system. Communicate significant resident, compliance, maintenance, and operational concerns to Regional Management. Resident Relations Build positive and professional relationships with residents. Respond to resident concerns and complaints professionally and timely. Enforce lease requirements and community policies consistently. Document lease violations and coordinate enforcement or legal matters with management when necessary. Coordinate reasonable accommodation and VAWA-related matters in accordance with established procedures. Maintain professionalism, discretion, and confidentiality when handling resident information. Maintenance & Inspections Coordinate with Maintenance regarding work orders, unit turns, preventive maintenance, and property conditions. Monitor open work orders and follow up on timely completion. Conduct regular property and unit inspections. Identify and report conditions requiring corrective action. Coordinate access to resident units when necessary. Assist with preparation for HUD, NSPIRE, management, and other property inspections . Track identified deficiencies through completion. Qualifications High school diploma or equivalent required. 2+ years of affordable housing and/or property management experience preferred. Experience conducting annual and interim recertifications strongly preferred. Experience with HUD-assisted and/or senior housing strongly preferred. Certified Occupancy Specialist (COS) certification preferred. Illinois Leasing Agent License preferred. Working knowledge of affordable housing eligibility, leasing, recertifications, resident files, and compliance requirements. OneSite/RealPage experience preferred. Strong organizational and time-management skills. Strong attention to detail and documentation. Ability to independently manage leasing, recertification, and operational deadlines. Strong written and verbal communication skills. Ability to work effectively and professionally with senior residents, applicants, vendors, Maintenance, Compliance, and Regional Management. Ability to address difficult resident situations professionally while consistently enforcing lease and property requirements. Proficiency with Microsoft Office, email, and general computer systems. The successful candidate will be dependable, organized, approachable, and comfortable working independently while knowing when an issue should be elevated to Regional Management or Compliance. This position is ideal for an affordable housing professional who enjoys working directly with residents and wants responsibility for their own community while still having the support of a larger management team. Compensation $43,000
