Job Description

Position Overview The Property Management Administrator supports daily operations across residential and/or commercial properties, ensuring smooth administrative workflows, excellent tenant communication, and accurate record keeping. This role is central to maintaining organized processes, supporting property managers, and helping deliver a positive experience for tenants, owners, and vendors. Key Responsibilities Tenant Relations & Support o Serve as a primary point of contact for tenant inquiries, maintenance requests, and general communication. o Assist with lease renewals, move ins, move outs, lease signings, lease violations and documentation. o Maintain professional, timely communication with tenants, owners, and vendors. o Assist with eviction related administrative processes. Administrative & Office Management o Manage property files, digital records, and compliance documentation. o Prepare correspondence, notices, reports, and meeting materials. o Maintain calendars, schedule inspections, and coordinate appointments with clients, inspectors, maintenance and vendors. o Maintain the Pheonix Project Tenant Income Verification documentation, notices and renewals. o Track all deadlines. Financial & Reporting Tasks o Assist with rent collection, payment processing, and delinquency tracking. o Support preparation of monthly financial reports, budgets, and expense tracking. o Process invoices, vendor payments, and purchase orders. Maintenance Coordination o Log and track maintenance requests, ensuring timely follow up and completion. o Communicate with contractors and vendors, obtain quotes, and schedule work. o Maintain maintenance logs and update property management systems. o Ordering maintenance supplies and materials. o Prioritize maintenance requests for the Property Manager. o On call rotation required for this position. o Schedule annual and other required inspections. o Follow up on identified deficiencies. o Manage property management email. o Respond to routine tenant/property management inquiries. o Escalate significant issues to Property Management immediately. Compliance & Record Keeping o Ensure leases, notices, and property documents meet legal and organizational standards. o Maintain current client housing list on a weekly basis. o Support inspections, safety compliance, and regulatory documentation. o Maintain accurate records for audits and reporting. Qualifications Experience in property management, real estate, or administrative support preferred. Strong organizational and multitasking abilities. Excellent written and verbal communication skills. Proficiency with property management software (e.g., DoorLoop) is a plus. Proficiency with Microsoft Office Suite required. Ability to maintain confidentiality and handle sensitive information. Customer service mindset with a calm, professional demeanor. Ability to work independently and as part of a team Work Environment This role may be based in an office, onsite at a property, or hybrid depending on organizational needs. Occasional travel between properties may be required.
Pay:
$22.00 - $23.00 per hour Expected hours: 40.0 per week
