Property Management Office Manager Gem Property Management is seeking an organized, dependable, and detail-oriented Office Manager to assist with the day-to-day operations of our property management office. This position plays an important role in coordinating maintenance, managing tenant and vendor matters, maintaining financial records, and supporting the overall operation of our managed properties. The ideal candidate has previous experience in property management, real estate administration, or a similar office management position and is comfortable handling multiple responsibilities independently. Responsibilities Manage and respond to daily property service and maintenance calls Create, coordinate, and follow up on work orders with maintenance staff, handymen, contractors, and outside vendors Coordinate vendor scheduling and ensure repairs are completed in a timely manner Manage Section 8 annual inspections , including scheduling, required repairs, and follow-up Coordinate Section 8 move-ins , contracts, documentation, and payments Manage accounts payable and accounts receivable Process and track vendor invoices and payments Maintain financial and property records using QuickBooks, AppFolio, and LandlordMax Assist with property tax and insurance records and payments Process monthly association/HOA payments Review and maintain monthly bank statements and financial records Update and maintain daily rent-roll logs and tenant payment information Maintain organized tenant, property, vendor, and financial files Order and manage office supplies Communicate professionally with tenants, vendors, contractors, housing agencies, and property owners Assist management with additional property-management and administrative responsibilities as needed Qualifications Previous property management or real estate office experience is strongly preferred . Candidates should have strong organizational and communication skills, be comfortable handling multiple properties and deadlines, and have experience with bookkeeping or accounting-related tasks. Experience with QuickBooks and/or AppFolio is highly preferred. Familiarity with Section 8/Housing Choice Voucher inspections, paperwork, and move-ins would be a significant advantage. Candidates should also be comfortable using email, Microsoft Office/Google Workspace, property management software, and maintaining accurate financial and tenant records. What We're Looking For We are looking for someone who is organized, reliable, proactive, and able to work independently . This is a hands-on position where priorities can change throughout the day, so the right person should be comfortable coordinating maintenance issues, communicating with tenants and vendors, handling financial paperwork, and making sure important tasks don't fall through the cracks.
