Job Description

Job Summary We are seeking an organized and customer-focused Assistant Property Manager for a contract/temporary opportunity through January 2027. This role supports day-to-day property management operations within a professional office environment and is ideal for someone who enjoys administrative coordination, tenant communication, vendor support, and detailed document management. The Assistant Property Manager will work closely with property management leadership to help maintain smooth operations, accurate records, responsive tenant service, and timely reporting. Key Responsibilities
  • Provide administrative support including phone coverage, report typing, filing, correspondence distribution, meeting coordination, and office supply management.
  • Assist with lease administration, tenant contacts, insurance tracking, contract files, certificates of insurance, and related reporting.
  • Prepare and coordinate bid proposals, service contracts, invoices, purchase orders, check requests, and expense reports for review and approval.
  • Monitor the property maintenance work order system, track tenant service calls, and prepare monthly status reports for property management.
  • Support monthly and quarterly management reports, annual budget preparation, tenant bill backs, staff hours processing, and property meter readings.
  • Promote positive relationships with tenants, clients, vendors, and internal team members through professional and timely communication. Compensation and Benefits
  • Compensation:
    $30 to $32 per year.
  • Job Type:
    Contract/Temporary. Required Qualifications and Skills
  • Support property management operations through administrative coordination, tenant communication, and document management.
  • Maintain lease files, contract files, insurance certificates, work orders, purchase orders, and invoice processing workflows.
  • Assist with reporting, budget preparation, vendor coordination, service contracts, and tenant bill back processing.
  • Coordinate office operations, meetings, correspondence, and follow-up systems to support property management leadership.
  • High school diploma or GED equivalent required.
  • 3 to 5 years of relevant administrative, clerical, property management, or related office support experience preferred for this level.
  • Proficiency in Microsoft Office Suite.
  • Strong written and verbal communication skills with the ability to interact professionally with tenants, clients, vendors, and decision makers.
  • Excellent organization, follow-up, time management, and multitasking skills.
  • Ability to maintain confidential information and follow established policies and procedures.
  • Comfortable working in a professional office environment using standard office equipment.
  • Ability to sit or stand for extended periods, walk between buildings as needed, use stairs or step stools, and occasionally travel outside in varying weather conditions. Preferred Qualifications
  • Bachelor's degree preferred.
  • Customer service experience preferred.
  • Prior experience in real estate, commercial property management, lease administration, vendor coordination, or tenant services is a plus.
  • Experience with contract administration software, work order systems, purchase order systems, or property management reporting tools is helpful.
