We are looking for an organized, dependable, and highly responsive Maintenance Coordinator to help manage maintenance requests, coordinate field staff and vendors, and ensure work orders are completed efficiently. Position Summary The Maintenance Coordinator is responsible for managing maintenance requests from the time they are received through scheduling and completion for a scattered site portfolio of single family homes and multifamily properties. Because each property may vary in age, layout, condition, and repair needs, this position requires strong organization, attention to detail, and the ability to coordinate multiple projects across different locations. This position communicates with residents, maintenance technicians, contractors, project managers, and other personnel to ensure repairs, unit turnovers, inspections, and other property-related work are properly documented and completed. The ideal candidate is an excellent communicator who can manage a high volume of phone calls, text messages, emails, and work orders while maintaining accurate records and following up consistently . Key Responsibilities Receive maintenance requests from residents and review/create detailed work orders. Contact residents to collect photos, descriptions, and other information needed to evaluate maintenance issues. Determine the urgency and appropriate next steps for each maintenance request. Assign work orders to qualified maintenance technicians or contractors based on their experience and ability to complete the job. Coordinate schedules for maintenance technicians, contractors, inspectors, appraisers, real estate agents, and other third-party vendors. Follow up with employees and vendors to confirm appointments, progress, and job completion. Create work orders for move out inspections, unit turnover scopes, vacant units, rehabs, trash outs, and housing inspection repairs. Coordinate repairs needed before housing inspections to help ensure units are ready to pass. Track and maintain property keys, lockboxes, and related inventory. Review work order notes, photographs, invoices, and completion documentation. Assist with property billing and invoice processing as assigned. Answer and respond to maintenance related phone calls, text messages, and emails promptly. Escalate emergencies, resident concerns, delays, and issues requiring management attention. Qualifications Previous experience in property management, maintenance coordination, dispatching, customer service, or office administration is required . Strong organizational & time management skills. Ability to manage multiple work orders, schedules, and deadlines at the same time. Excellent written and verbal communication skills. Strong follow up skills and attention to detail. Comfortable communicating with residents, contractors, vendors, and maintenance personnel. Ability to remain professional during stressful or urgent situations. Basic understanding of residential maintenance terminology is preferred. Experience using property management or work order software like Property Meld, Buildium or similar is a required . Proficiency with email, text messaging, electronic records, and standard office software. Ideal Candidate The successful candidate will be proactive, assertive, dependable, and comfortable holding employees and vendors accountable for scheduling and completion.
