Position Overview The Maintenance Coordinator is the central driver of Cobalt's maintenance operations. This role goes beyond simple dispatching—it requires gathering facts, determining the correct next steps, communicating clearly, and following up consistently until every request is fully resolved.

Primary Systems:
Property Meld & AppFolio Key Responsibilities 1. Work Order Management & Intake Process maintenance requests from tenants, managers, inspectors, and property owners using Property Meld. Review historical communication and repair records before assigning or escalating issues. Identify emergencies immediately and initiate emergency protocols. Maintain complete documentation, including descriptions, photos, and tenant access details. 2. Vendor & Technician Coordination Dispatch appropriate vendors/technicians for standard requests and assist with managing schedules. Communicate scopes of work, access details, and property rules prior to job start. Request and route estimates for approval; arrange competitive bids or second opinions as needed. Track vendor availability, capabilities, and performance to maintain strong network relationships. 3. Stakeholder Communication (Tenants & Owners)
Tenants:
Keep tenants informed on scheduling, delays, parts, and completion; gather photos/videos when needed to triage issues.
Owners:
Review property-specific instructions, obtain approvals for non-emergency work, and provide clear summaries (facts, photos, estimates) to guide decisions. 4. Quality Control & Closeout Perform daily audits of open requests to ensure every ticket has an active next step. Review completed work orders, vendor notes, photos, and invoices to verify resolution before routing to billing/AppFolio. Manage equipment rentals/allocations (fans, heaters, dehumidifiers, pumps) and ensure proper usage tracking for billing. 5. Emergency & After-Hours Support Support the on-call maintenance workflow. Conduct next-business-day follow-ups on weekend/after-hours activity with tenants and vendors to ensure initial fixes hold and permanent repairs are scheduled.

Communication:
Excellent written, verbal, and customer service skills; adept at handling conflict.
Technical Aptitude:
Quick to learn management platforms; experience with Property Meld or AppFolio is preferred.
Industry Knowledge:
Basic understanding of residential maintenance and construction terminology is preferred.
