Full Job Description Description:
At Cagan Management Group, exceptional communities begin with exceptional people. Since 1974, we've been committed to creating apartment communities where residents feel valued, properties are carefully maintained, and our teams have opportunities to grow. We're looking for an experienced Assistant Property Manager who is organized, financially minded, resident-focused, and ready to play a key leadership role in the daily operation of an apartment community. As the Property Manager's second-in-command, you'll have significant responsibility for resident accounts, collections, delinquency, renewals, lease administration, resident relations, leasing support, and property operations. This is an excellent opportunity for an experienced Leasing Consultant, Assistant Property Manager, or multifamily professional who is ready to continue building toward property leadership. What You'll Do Monitor resident accounts, balances, and delinquency and proactively follow up on outstanding balances. Process and monitor resident payments, fees, credits, and account activity within established procedures. Review resident ledgers and research account discrepancies. Prepare required collection notices and maintain accurate documentation. Monitor payment arrangements and stipulations and follow up when terms are not met. Support eviction administration, including notices, documentation, timelines, court activity, stipulations, and follow-up. Monitor upcoming lease expirations and renewal activity. Prepare renewal offers and follow up with residents regarding renewal decisions. Track notices to vacate and upcoming move-outs. Prepare leases, addenda, renewals, notices, and other resident documentation. Review and process rental applications according to established screening requirements. Support Leasing Consultants with prospect inquiries, tours, applications, and follow-up as needed. Monitor prospect follow-up and leasing activity through the CRM. Coordinate resident move-ins and ensure required documentation and payments are complete. Support move-out processing, final account administration, and required documentation. Enter and monitor resident service requests and work orders. Partner with Maintenance regarding aging work orders, apartment turns, move-in deadlines, and resident concerns. Respond to resident account questions and concerns professionally and promptly. Maintain accurate, complete, and organized resident and applicant files. Assist with invoices, property reports, month-end activities, and other financial administration. Maintain accurate information within Yardi, RentCafe, CRM, and other property systems. Support property walks, inspections, resident events, and daily community operations. Assist the Property Manager with team coordination, reporting, and operational priorities. Provide day-to-day property coverage and leadership when the Property Manager is unavailable. Maintain compliance with Fair Housing requirements, company policies, lease terms, and applicable landlord-tenant requirements.
Requirements:
What We're Looking For Multifamily property management, assistant property management, leasing, collections, or comparable residential property experience. 2+ years of multifamily experience preferred. Experience with resident accounts, delinquency, collections, renewals, and lease administration. Understanding of lease enforcement, notices, and the basic eviction process. Yardi experience strongly preferred. Experience with RentCafe and CRM platforms preferred. Working knowledge of Fair Housing requirements. Strong administrative and mathematical skills. Ability to review resident ledgers and account activity accurately. Excellent organization and attention to detail. Strong written and verbal communication skills. Professional customer service and conflict-resolution abilities. Ability to maintain confidential resident and company information. Proficiency with Microsoft Office. Ability to manage multiple priorities and deadlines. Reliable attendance and schedule flexibility, including weekends or additional hours when required. You'll Be Successful Here If you don't just identify an outstanding balance—you follow through until it's resolved.

You don't just send a renewal—you monitor the response and know what is happening with the resident.

You notice when a file is incomplete, a work order is aging, a prospect hasn't been contacted, or a move-in needs attention.

Most importantly, you understand that accuracy, urgency, communication, and follow-through matter in property management.
