Job Description

Timeless Properties Detroit is seeking an experienced and highly organized Area Property Manager to play a key role in the acquisition, transition, and ongoing management of a portfolio of multifamily properties in the Detroit area. This is a unique opportunity because the initial focus of the position will be helping our team onboard properties that are currently being acquired and transitioned to new ownership and management . The Area Property Manager will work closely with company leadership during the takeover process to understand each property, identify immediate priorities, organize operations, establish Timeless Properties Detroit's management standards, and create a smooth transition for residents, employees, vendors, and ownership. Once the properties have been successfully transitioned, this individual will continue to oversee the portfolio and be responsible for its ongoing operational and financial performance. This is a hands-on position requiring someone who is comfortable walking properties, solving problems, organizing incomplete information, establishing processes, managing employees, and taking ownership of a property from the earliest stages of transition through stabilized operations. Initial Acquisition & Transition Responsibilities During the acquisition and management takeover process, the Area Property Manager will help lead the operational transition of each property.
Responsibilities will include:
Participate in property takeover planning prior to and immediately following acquisition. Conduct detailed property walks and develop an understanding of the physical condition and immediate operational needs of each property. Identify outstanding maintenance, safety, cleanliness, staffing, leasing, collection, and resident-related concerns. Help organize and verify resident files, leases, rent rolls, balances, security deposits, applications, and other property records received from previous ownership or management. Assist with communicating the management transition to residents, employees, vendors, and other stakeholders. Help establish new rent payment procedures, resident communication channels, maintenance reporting procedures, and office operations. Review existing vendor relationships, contracts, utilities, service agreements, and recurring property expenses. Identify critical repairs and deferred maintenance that should be addressed immediately following takeover. Review vacant units and develop a plan for completing make-ready work and returning units to market. Evaluate existing onsite personnel and help determine staffing needs for each property. Train and support employees as Timeless Properties Detroit policies, procedures, and expectations are implemented. Help transition property, resident, lease, accounting, maintenance, and operational information into AppFolio Property Manager , our property management software. Ensure property information is accurately entered, organized, and maintained within company systems. Track open transition items and ensure issues are followed through to completion. Help bring newly acquired properties into alignment with Timeless Properties Detroit operating standards. Ongoing Portfolio Management Responsibilities Following the initial transition period, the Area Property Manager will assume responsibility for the ongoing performance of the assigned portfolio.
Responsibilities will include:
Oversee the daily operations and performance of multiple multifamily properties. Regularly visit assigned properties to inspect building conditions, common areas, vacant units, grounds, and ongoing projects. Supervise, support, and hold property management, leasing, and maintenance staff accountable. Monitor occupancy, leasing activity, applications, move-ins, renewals, and vacancies. Ensure vacant apartments are turned efficiently and meet company standards. Monitor rent collections, delinquency, payment arrangements, and collection efforts. Respond to escalated resident concerns and ensure issues are appropriately resolved. Coordinate with maintenance staff and vendors to ensure work orders, repairs, inspections, and projects are completed properly and on schedule. Identify property deficiencies and develop plans to address them. Assist with vendor selection, bid review, project coordination, and contractor oversight. Ensure properties are prepared for city, agency, lender, insurance, and other required inspections. Monitor expenses and identify opportunities to improve property performance and control costs. Review property performance and provide regular updates to company leadership. Ensure company policies, procedures, and operating standards are consistently followed throughout the portfolio. Maintain accurate records and documentation related to residents, maintenance, inspections, collections, and property operations. Utilize AppFolio to monitor leasing, collections, work orders, resident activity, reporting, and overall property performance. What We Are Looking For Previous multifamily property management experience required. Multi-property, portfolio, regional, or area management experience strongly preferred. Experience with property acquisitions, management transitions, lease-ups, distressed properties, or operational turnarounds is highly desirable. Experience with AppFolio Property Manager is strongly preferred. Strong understanding of leasing, collections, maintenance operations, resident relations, apartment turnovers, and property inspections. Ability to enter a new property, quickly assess its condition and operations, identify priorities, and develop an action plan. Experience supervising employees and establishing accountability. Strong organizational and project-management skills. Ability to manage multiple properties, priorities, deadlines, and transition projects simultaneously. Strong written and verbal communication skills. Comfortable making decisions and solving problems with incomplete information. Ability to handle difficult conversations with residents, employees, contractors, and vendors professionally. Strong follow-through and attention to detail. Comfortable using property management software, email, spreadsheets, and other business technology. Valid driver's license and reliable transportation required. The Right Person for This Role The ideal candidate is someone who enjoys taking an operation that may initially be disorganized and turning it into a well-run property. During a property acquisition, information is not always perfect, problems may already exist, and priorities can change quickly. We need someone who can walk into that environment, determine what needs attention, create structure, communicate clearly, and consistently follow through. This person should be comfortable both building the operation and managing the operation . We are looking for someone who takes ownership of their portfolio, understands what is happening at their properties, develops strong relationships with employees and residents, and ensures that problems do not remain unresolved simply because they are difficult. Work Location This is a field-oriented management position requiring regular travel between properties throughout the Detroit area. This is not a remote position.
