Job Description

Assistant Manager We are looking for a responsible Assistant Property Manager to perform a variety of administrative tasks in support of one of our Property Managers for a portfolio of clients. Following are a number of various responsibilities which include, but are not limited to, sending/receiving emails daily, making/receiving phone calls, taking direction from the Property Manager. The ideal candidate should have excellent oral and written communication skills and be able to organize their work using tools, like MS Excel, MS Word and office equipment. If you have previous experience as a Secretary or Administrative Assistant and familiarity within our industry, we'd like to meet you. Responsibilities Address phone calls from clients Compose emails to forward correspondence to the client for review. Process work order requests from clients. Process complaint submissions from clients. Process modification requests from clients. Process invoice release requests from clients. Write and distribute email, correspondence memos, letters, faxes and forms Work with Property Manager to send mailings when needed. Work with Property Manager to track information (water usage, rentals, etc.) Skills Proven experience as an administrative assistant Knowledge of office management systems and procedures Working knowledge of office equipment, like printers and fax machines Proficiency in MS Office (MS Excel and MS Word, in particular) Excellent time management skills and the ability to prioritize work Attention to detail and problem solving skills Excellent written and verbal communication skills Strong organizational skills with the ability to multi-task High School degree; additional qualification as an Administrative Assistant or Secretary will be a plus
