Business Office Manager - Prime Gastonia Join the Team Behind the Prime Experience! Prime Independent Living is seeking an organized, energetic, and service-focused Business Office Manager to help create exceptional experiences for residents, families, guests, and team members. As a key member of the community leadership team, the Business Office Manager plays an important role in keeping daily operations running smoothly while supporting residents, managing administrative processes, coordinating payroll and billing functions, maintaining employee records, and helping create a welcoming and engaging environment for everyone who walks through our doors. What You'll Do AdministrativeOffice Operations Oversee daily business office operations and administrative functions. Prepare correspondence, reports, forms, and other business documents. Maintain organized filing systems and accurate records. Answer phones, manage inquiries, and provide exceptional customer service to residents, families, and guests. Order office supplies and manage inventory within budget guidelines. Support the Executive Director with reports, correspondence, and special projects. Human ResourcesTeam Support Maintain employee personnel files and ensure documentation remains current and compliant. Assist with onboarding activities, background checks, drug screenings, and employment paperwork. Support hiring, training, scheduling, and supervision of concierge team members. Serve as a resource for team members regarding administrative processes and documentation. Payroll, BillingFinancial Administration Review and process payroll information accurately and on schedule. Assist with payroll distribution and related recordkeeping. Process invoices and submit accounts payable documentation. Maintain resident charge accounts and billing records. Prepare bank deposits and assist with financial reporting. Monitor budget reports and communicate variances to leadership. ResidentCommunity Support Maintain resident records and files in accordance with company policies. Provide information needed for census, billing, and operational reporting. Assist with community tours and support marketing initiatives as needed. Help create a welcoming atmosphere that reflects the Prime culture and experience. Support community events, resident programs, and special initiatives when needed. Additional Responsibilities Maintain confidentiality of sensitive resident, employee, and company information. Assist with front desk coverage when needed. Support operational needs across departments. Perform other duties as assigned. What We're Looking For High school diploma or equivalent required; some college preferred. Minimum of two years of office management, administrative, hospitality, healthcare, senior living, or related experience. Minimum of two years of customer service experience. Strong organizational and multitasking skills. Excellent written and verbal communication abilities. Proficiency in Microsoft Word, Excel, and Outlook. Ability to maintain confidentiality and exercise sound judgment. Positive attitude, strong work ethic, and a genuine passion for serving others. Why Prime?
