Job Description

Position Overview The Property Manager is responsible for overseeing the day-to-day operations of a 92-unit condominium association/property, ensuring high standards of maintenance, financial accountability, and resident/owner satisfaction. This role reports to the Board of Directors (BOD) and works closely with the association's bookkeeping partner, owners, maintenance staff, and external professionals to maintain the property's value and appeal. Village Condominium is located in Waterville Valley, NH, a year-round resort community.
Position details:
This is a full-time salaried position. Occasional evenings or weekend hours will be necessary for BOD meetings and the Condo Association annual meetings.
Compensation and Benefits:
Salary range $60,000-$80,000 commensurate with experience. Benefits include paid sick leave and vacation days. Offer of employment is conditional on the successful completion of a background check. Key Responsibilities 1. Property Oversight, Maintenance, & Operations and Planning Supervise on-site maintenance professional and any other staff. Oversee property operations to ensure everything is well-maintained, attractive, and in good working order. Manage and oversee ongoing maintenance, including landscaping, pool (in summer), building upkeep (including office), snow removal, trash removal, and other routine services. Supervise Major Maintenance Program by maintaining and executing the long-range plan (as outlined in the 5-year plan maintained by bookkeeping service). Solicit, review, and recommend bids to BOD for capital improvement and major maintenance projects (e.g., roofing, painting, structural repairs) to ensure proactive and cost-effective handling of large-scale projects. Hire, coordinate and oversee subcontractors for repairs, projects, or specialized work as needed to ensure timely completion, quality standards, and budget adherence. Ensure owners' private construction projects in individual units are in compliance with Association By-Laws. Assist owners in finding reputable private contractors if needed and give contractors access to unit at owner's request. Communicate construction projects and property status to the BOD and residents in timely manner. Conduct regular property inspections to identify maintenance needs and recommend corrective actions. Conduct or supervise weekly unit checks on vacant units to prevent issues such as fire hazards, leaks, frozen pipes, unnecessary heat loss, or unauthorized entry. Be available for on-call duties, emergency response, and occasional after-hours responsibilities. 2. Financial Management Collaborate with bookkeeping firm to review monthly financials, then prepare and present reports to the BOD. Establish and maintain annual operating budget in partnership with the BOD, Treasurer, and bookkeeping partner. Work with bookkeeping partner on year-end reviews, including recommendations for employee wage increases based on cost-of-living adjustments and budget needs. Ensure accurate record-keeping for management and all financial transactions (bills, payroll hours, etc., are forwarded to bookkeeping partner for processing). Ensure the Association and Board are adequately insured at competitive rates 3. Reporting & Communication Report all issues, ongoing activities, and progress to the BOD on a regular basis. Evaluate staff performance and report findings to the BOD. Handle owner inquiries, concerns and conflict resolution. Assist owners as needed and keep them informed of key activities and BOD decisions. Monitor local developments and bring relevant issues to the attention of the BOD Maintain and build relationships with external professionals and organizations, including attorneys, accountants, insurance agents, ski area operators, WVRA, Chamber of Commerce, and other relevant partners 4. Budget & Long-Term Planning Support Participate in annual meetings with bookkeeping partner, the Treasurer, and other stakeholders to review the budget, discuss employee compensation adjustments, and plan for major maintenance projects. Support bookkeeping partner's long-term major maintenance planning to ensure proactive and cost-effective handling of large-scale projects. 5. Administration & Compliance Uphold Association governing documents, policies, and applicable local, state, and federal laws. Maintain accurate, well-organized association records and documentation. Coordinate BOD meetings, prepare agendas and maintain meeting minutes. Essential Skills, Qualifications and Requirements Relevant experience Excellent communication and interpersonal skills, including ability to resolve conflicts, manage resident concerns, and negotiate with vendors and contractors Strong organizational skills and attention to detail Ability to independently assess issues and manage multiple priorities Solid understanding of budgeting, financial reporting, and reserve planning Solid understanding of association governance, bylaws, and regulatory compliance Proficiency in Microsoft Office Suite To apply, please submit a cover letter explaining your interest in and qualifications for this position and a resume to the property manager search committee at board.villagecondo@gmail.com.
