Job Description

We are looking for an Administrative Assistant to support day-to-day property operations for a real estate portfolio in New Jersey. This Long-term Contract opportunity is ideal for an organized individual who can balance resident service, leasing support, compliance coordination, and administrative oversight in a fast-paced housing environment. The role will work closely with property leadership to help maintain occupancy goals, keep records organized and audit-ready, and support smooth communication with residents, vendors, and housing partners. Applicants MUST have experience with Low Income Housing Tax Credit.
Responsibilities:
  • Manage applicant waitlists by reviewing and updating records on a regular basis, removing outdated entries, and guiding prospective residents through the online pre-application process.
  • Coordinate the full application and move-in process, including explaining eligibility guidelines, preparing leasing documents, and completing required onboarding paperwork.
  • Monitor occupancy levels closely, identify upcoming vacancies, and support outreach efforts that help keep units leased in line with property targets.
  • Prepare leases, renewals, and annual income recertification documents for applicable programs, ensuring all deadlines are met accurately.
  • Assist residents with recertification steps in the property management system and maintain complete paper and digital files that are ready for review or audit.
  • Work with subsidy administrators and external housing partners to track approvals, secure required payment documentation, and follow through on deposit or rent commitments from third parties.
  • Support the Property Manager with daily operations, including resident transfers, accommodation requests, rent portion calculations for specialized programs, and general issue resolution.
  • Review property conditions regularly, document concerns, and help ensure work orders, preventive maintenance, inspections, and unit turns are completed within established timelines.
  • Contribute to a well-organized and service-focused environment by collaborating across departments, sharing effective practices, and maintaining positive interactions with residents, vendors, and internal teams.
