A Property Manager manages operations for an apartment building or complex. Recruits and screens tenants for apartments, collects rents and security deposits, responds to requests or complaints from tenants, supervises maintenance and repairs; oversees payment of bills, insurance, taxes and recordkeeping. Manages property and services on behalf of a community association, for properties such as condominiums or cooperatives. Collects fees or dues, responds to requests or complaints, supervises maintenance, oversees work done by contractors, and provides accounting of income and expenses. May also assist owners or a board of directors with regulatory compliance or compliance with community association rules. Manages the operation of commercial or residential properties. Oversees the collection of rents and payment of bills, taxes and insurance for properties, and provides property owners with reports on finances and the status of properties. Directs leasing operations, or equipment and machinery rentals, for a company or business. Determines charges and prepares rental or lease agreements; supervises inventory, equipment maintenance and recordkeeping for leasing operations.
Oversee and facilitate the management of residential, commercial, and owner-owned self-storage properties for West Assured Rentals. Responsibilities include tenant and owner communication, leasing, rent collection, maintenance coordination, inspections, and financial oversight in compliance with Federal and New Mexico laws. Residential and commercial properties are managed using Buildium software, while owner-owned self-storage facilities are operated using Storable Easy.
Essential Functions:
1. Serve as the primary point of contact for residential, commercial, and self-storage tenants regarding leasing, billing, maintenance, and general property matters. 2. Utilize Buildium property management software to manage residential and commercial leases, tenant ledgers, owner statements, trust accounting, maintenance requests, inspections, and reporting. 3. Utilize Storable Easy software to manage owner-owned self storage facilities, including leasing, rent collection, tenant accounts, delinquency tracking, storage auctions coordination, and reporting. 4. Process rent collections, fees, late charges, owner draws, and vendor payments in accordance with New Mexico property management trust accounting requirements. 5. Prepare and deliver accurate monthly owner statements, year-end reports, and supporting documentation for managed residential and commercial properties. 6. Oversee day-to-day operations of four company-owned self storage facilities located in Ruidoso Downs, Capitan, Tularosa, and Alamogordo, New Mexico. 7. Coordinate leasing activities for self storage units, including move-ins, move-outs, unit transfers, and customer inquiries. 8. Coordinate tenant move-ins and move-outs, including lease execution, condition reports, key control, deposits, and compliance with the New Mexico Uniform Owner-Resident Relations Act. 9. Address self storage tenant concerns and questions regarding access, billing, unit availability, and facility policies. 10. Coordinate maintenance and repairs for residential, commercial, and self storage properties, including scheduling vendors, tracking work orders, reviewing invoices, and confirming completion. 11. Perform and document bi-annual and annual property inspections for residential and commercial properties, including report generation with photo documentation and follow-up actions. 12. Conduct periodic site visits to self storage facilities to perform vacancy checks, inspect unit condition, apply or remove overlocks, and prepare units for new rentals. 13. Perform occasional cleaning of vacant self storage units in preparation for new rentals when required. 14. Communicate maintenance findings, repair recommendations, and capital improvement needs to ownership for approval. 15. Manage delinquency processes including late notices, cure notices, notices to vacate, and coordination of documentation for legal counsel when required. 16. Maintain accurate digital records for leases, inspection reports, vendor agreements, insurance certificates, and correspondence. 17. Ensure compliance with the New Mexico Uniform Owner-Resident Relations Act, Fair Housing Act, Americans with Disabilities Act, New Mexico Real Estate Brokers and Salespersons Act, Fair Credit Reporting Act, New Mexico Real Estate Commission Rules, other applicable statutes and regulations, company policies, and internal operating procedures. 18. Respond professionally and timely to tenant inquiries, complaints, and emergency maintenance situations. 19. Assist with onboarding new residential, commercial, or storage properties into management systems and operational workflows.
Additional Functions:
1. Coordinate utility transfers and service accounts where applicable. 2. Assist with rent adjustments, market rent analysis, and lease renewals. 3. Maintain vendor compliance including insurance certificates and W-9 documentation. 4. Track insurance renewals, safety compliance items, and required property documentation. 5. Assist with eviction coordination and documentation in compliance with New Mexico law when necessary. 6. Support marketing of rental vacancies and self storage unit availability, including listings and photos. 7. Maintain keys, access codes, lockboxes, gate codes, and access logs. 8. Provide customer service support to walk-in clients and phone inquiries. 9. Assist with internal audits, trust account reviews, and process improvements. 10. Miscellaneous administrative, property management, and real estate related duties as assigned.
Experience/Skills Required:
Minimum of one year experience in property management, real estate, or related field. Ability to multiply and divide fractions and percentages. New Mexico Real Estate license preferred, but not required to start. Proficiency in Buildium, App Folio (for future transition) and Storable Easy or comparable property management software. Proficiency in Microsoft Office and Google Suite products. Working knowledge of the New Mexico Uniform Owner-Resident Relations Act and other related acts and statues. Understanding of trust accounting and fiduciary responsibilities. Send out mailing materials. Receive mail and scan to digital files. Upgrade and maintain the digital filing system. Pull needed information from the MLS (Multiple Listing Service) system. Prepare listing packet, competitive market analysis. Keep the office organized and cleaned including the kitchen area and desks. Strong written and verbal communication skills. Ability to manage multiple property types and priorities simultaneously. High attention to detail and accurate documentation skills. Strong customer service and conflict resolution skills. Ability to work independently with little or no supervision. Ability to sit for long periods. Ability to lift up to 25 pounds. Valid driver's license in good standing and ability to conduct on-site inspections and facility visits. Personal cell phone used to route company calls via call routing software (i.e. Grasshopper, Follow Up Boss, Software applications). Phones routed only during business hours unless emergency coverage is needed. For personal vehicle use for company use, mileage to be paid at $0.65 per mile. A company vehicle may be available for use, however, not always guaranteed to be available. This description does not entirely list other possible duties that may be required in this position.
