A Property Manager manages operations for an apartment building or complex. Recruits and screens tenants for apartments, collects rents and security deposits, responds to requests or complaints from tenants, supervises maintenance and repairs; oversees payment of bills, insurance, taxes and recordkeeping. Manages property and services on behalf of a community association, for properties such as condominiums or cooperatives. Collects fees or dues, responds to requests or complaints, supervises maintenance, oversees work done by contractors, and provides accounting of income and expenses. May also assist owners or a board of directors with regulatory compliance or compliance with community association rules. Manages the operation of commercial or residential properties. Oversees the collection of rents and payment of bills, taxes and insurance for properties, and provides property owners with reports on finances and the status of properties. Directs leasing operations, or equipment and machinery rentals, for a company or business. Determines charges and prepares rental or lease agreements; supervises inventory, equipment maintenance and recordkeeping for leasing operations.

Full Job Description Company Overview:
Established in 1935, Barhite & Holzinger is one of the oldest privately-held real estate firms in Westchester County, New York. Specializing in property management, we oversee a diverse portfolio that includes condominiums, cooperatives, large-scale homeowner associations, medical professional office buildings, retail stores, and traditional rental apartment houses. Our longstanding presence in the community reflects our commitment to exceptional service and client satisfaction.
Position Summary:
We are seeking an experienced Administrative Assistant to handle administrative support duties with our Property Managers in the daily operation of properties within our portfolio. The ideal candidate must possess considerable organizational skills and better than average secretarial and computer skills. True multi-tasking qualities and attention to detail are essential as support for several Property Managers is required. Interaction with our clients, whether in person, over the phone or via email, is necessary therefore making exceptional verbal and written communication skills as well as patience a major component of this position. Confidentiality, discretion, respectfulness and a good work ethic are expected.
Key Responsibilities:
Operational Management:
o Provide administrative support for several Property Managers. o List maintenance of computer data bases for owner directories, parking assignments, sale and rental/sublet tracking, etc. o Registration and list maintenance of vehicles as may be necessary. o Registration and list maintenance for pool passes as may be necessary. o Coordinate with vendors and contractors as may be necessary.
Financial Management:
o Assist in the preparation of annual budgets with the Property Manager. o Assist in handling the arrears/delinquency process with attorneys. o Coordinate distribution of annual audits to owners.
Resident Relations:
o Serve as a point of contact for owners and residents, addressing concerns, answering questions, providing assistance and follow-up promptly and effectively.
Board Collaboration :
o Schedule board meetings, provide agendas and Minutes as well as any other documentation necessary for meetings. o Provide copies of owner/resident and vendor correspondence as may be necessary. o Coordinate all details related to annual meetings, including venue reservations, distribution of notice materials, calculation of proxies, etc.
Technological Integration :
o Utilize word processing, spreadsheet, email programs as well as property management software to streamline operations, enhance communication, and improve service delivery.
Qualifications :
  • Minimum of 5 years of experience in the property management field, preferably with condo/co-op associations, and/or related legal experience.
  • Proficiency in Microsoft Office suite.
  • Good interpersonal and communication skills. Spelling and grammar skills are essential.
  • Ability to manage multiple priorities and meet deadlines.
