Job Description:
The Leasing Administrator is responsible for the administration, tracking, and maintenance of lease documents and related data across the property portfolio. This role ensures proper lease administration, tenant compliance with lease terms, and effective coordination between leasing, legal, property management, and accounting teams. Key Responsibilities Lease Documentation & Administration Maintain complete and accurate lease files, including executed leases, amendments, exhibits, and related correspondence Abstract leases and enter critical terms into lease administration systems and databases Track key lease dates and obligations, including rent commencements, escalations, options, expirations, and notice requirements Ensure executed documents are properly circulated and archived Data Management & Reporting Maintain lease administration systems, rent rolls, and tenant databases Review lease data for accuracy and consistency across systems Prepare standard leasing and portfolio reports as requested Support audit requests by providing lease documentation and data Compliance & Risk Management Collect, review, and track tenant insurance certificates to ensure compliance with lease requirements Monitor insurance coverage limits, expiration dates, and required endorsements Sales Reporting & Percentage Rent Administration Collect, review, and track tenant sales reports in accordance with lease requirements Monitor reporting deadlines and follow up with tenants on missing or incomplete sales submissions Assist with calculation support for percentage rent and audit coordination as needed Maintain organized sales reporting records for internal review Interdepartmental Coordination Work closely with accounting to ensure accurate billing, CAM recoveries, and rent escalations Partner with property management on tenant onboarding and compliance with lease obligations Process & Compliance Monitor compliance with lease terms and notify internal teams of upcoming obligations or deadlines Assist with the implementation and maintenance of lease administration procedures and best practices Tenant Relations & Communication Serve as a primary point of contact for tenants, managing day-to-day communication and ensuring timely, professional responses to inquiries Coordinate and maintain consistent correspondence with tenants regarding lease matters, operations, and property updates Proactively engage with tenants to support satisfaction, retention, and overall relationship management Assist in resolving tenant issues by coordinating with internal teams (property management, legal, accounting) Track and document tenant interactions, requests, and follow-ups to ensure continuity and high service standards Support outreach efforts including announcements, updates, and general communications, to enhance tenant engagement Qualifications 2-5 years of experience in commercial real estate, lease administration, property management, or a related field Strong understanding of commercial lease language, including rent structures, escalations, CAM, tax, and insurance recoveries Demonstrated experience with lease abstraction, critical date tracking, and maintaining accurate lease records Proficiency in Yardi, MRI, or similar lease/property management systems required Ability to review and interpret leases, amendments, and legal documents with a high level of accuracy Strong attention to detail and organizational skills; ability to manage multiple leases and deadlines simultaneously Experience coordinating with leasing, legal, accounting, and property management teams Solid communication skills, both written and verbal

$70,000.00 - $90,000.00 per year
