ZD Jasper Realty is a vertically integrated New York City real estate developer specializing in high-end multifamily and mixed-use projects throughout Manhattan and Queens. With in-house development, construction, property management, and leasing teams, we operate in a fast-paced, compliance-driven environment where organization, accuracy, and follow-through are critical.
Position Overview:
ZD Jasper Realty is seeking a reliable, organized, and detail-oriented Office Assistant & Property Management Assistant to provide day-to-day administrative support to our office and assist with property management operations. This is a hands-on support role that combines general office administration with property management coordination. The ideal candidate is organized, responsive, professional, and comfortable handling multiple tasks throughout the day.
Key Responsibilities:
Property Management Support Assist with the daily management of residential and commercial properties. Communicate professionally with residents, commercial tenants, owners, vendors, and building staff. Coordinate and follow up on maintenance and repair requests. Work closely with superintendents, porters, contractors, and vendors to address building needs. Assist with lease administration, including new move-ins, and move-outs. Maintain accurate tenant, lease, and property records. Coordinate apartment inspections, access, repairs, and turnover work. Assist with vendor scheduling, proposals, invoices, and service coordination. Monitor outstanding maintenance items and follow up to ensure timely completion. Assist with building compliance, inspections, permits, and required documentation. Prepare and maintain management reports, correspondence, notices, and other property documentation. Respond to tenant concerns and escalate matters to the Property Manager when appropriate. Assist with property-related administrative tasks. Support the Property Manager with special projects and other operational responsibilities as needed. Office Administration Provide general administrative and clerical support to the office. Answer and direct phone calls, emails, and general inquiries. Maintain organized electronic and physical filing systems. Assist with data entry, spreadsheets, reports, and document preparation. Receive, sort, and distribute incoming mail and packages. Prepare outgoing mail, packages, and courier deliveries. Maintain office calendars, schedules, and meeting arrangements. Assist employees and management with general day-to-day administrative requests. Maintain office organization and ensure common areas are clean and properly supplied. Coordinate and place daily or scheduled lunch orders for employees. Order and maintain office supplies, pantry items, beverages, and other workplace necessities. Monitor inventory and reorder supplies as needed. Qualifications High school diploma or equivalent required; college degree preferred. 2+ years of experience in property management, real estate, office administration, customer service, or a related field preferred. Strong organizational, time-management, and follow-through skills. Excellent written and verbal communication skills. Strong attention to detail and ability to maintain accurate records. Ability to manage multiple properties, priorities, deadlines, and day-to-day requests in a fast-paced environment. Professional, responsive, and solutions-oriented when communicating with residents, commercial tenants, vendors, building staff, coworkers, and visitors. Proficiency in Microsoft Office, including Word, Excel, and Outlook. Experience with property management software; Yardi experience preferred. Ability to maintain confidentiality when handling tenant, employee, and company information. Knowledge of NYC residential and/or commercial property management is a plus.
Pay:
$50,000.00 - $55,000.00 per year
