Job Description
Position Summary We are seeking a motivated and organized Junior Property Manager to assist with the day-to-day operations of a growing property management portfolio. This position will primarily focus on leasing coordination, tenant relations, maintenance coordination, and administrative support to help ensure efficient property operations and high tenant satisfaction. The ideal candidate is detail-oriented, professional, responsive, and able to effectively manage multiple priorities in a fast-paced environment. Key Responsibilities - Leasing & Tenant Relations Respond promptly to rental inquiries via phone, email, and online platforms. Schedule and conduct property showings for prospective tenants. Coordinate and process rental applications, background screenings. Prepare lease agreements, renewals, and related leasing documentation. Coordinate move-ins and move-outs, including required documentation and inspections. Maintain accurate leasing records within property management software. Assist with marketing available units through online listing platforms, MLS, social media, and other advertising channels. Ensure listing descriptions and photos are accurate and updated prior to marketing. Communicate professionally with tenants regarding lease terms, renewals, notices, and general inquiries. Monitor occupancy and assist with strategies to reduce vacancy and increase leasing activity. Key Responsibilities - Maintenance Coordination Receive, track, and coordinate maintenance requests through the property management system. Dispatch maintenance staff and/or outside vendors as needed. Follow up with tenants and vendors to ensure work orders are completed timely and satisfactorily. Coordinate unit turnovers, inspections, and scheduling of vendors. Maintain communication regarding maintenance timelines and updates. Assist in obtaining vendor proposals, scheduling repairs, and tracking project progress. Ensure maintenance documentation, invoices, W-9s, and Certificates of Insurance are properly collected and maintained. Help prioritize emergency versus routine maintenance requests. Conduct periodic property inspections and report findings to management. Administrative & Operational Support Assist with tenant file organization and recordkeeping. Maintain accurate notes and updates within the property management software. Coordinate utility transfers, vendor access, and scheduling logistics. Assist with preparing reports, spreadsheets, and owner updates. Assist with the preparation and distribution of the monthly newsletter. Support implementation of company policies, procedures, and operational standards. Help maintain compliance with Fair Housing regulations and company procedures. Qualifications Must hold a valid New York State Real Estate Salesperson License. Prior experience in property management, leasing, customer service, or administrative support preferred. Strong communication and interpersonal skills. Excellent organizational and multitasking abilities. Ability to work independently and within a team environment. Proficient with Microsoft Office Suite (Word, Excel, Outlook). Experience with property management software such as AppFolio is a plus. Valid driver's license and reliable transportation preferred. Knowledge of Fair Housing laws and leasing practices is a plus. Preferred Skills Strong problem-solving and conflict-resolution abilities. Ability to prioritize tasks in a fast-paced environment. Professional written and verbal communication. Attention to detail and follow-through. Ability to coordinate multiple vendors, tenants, and deadlines simultaneously.
