TITLE:
Assistant Property Manager
REPORTS TO
Property Director
POSITION SUMMARY
: Responsible for the administrative function of the Property department, including coding of invoices, managing expenses, and working cross departmentally with Finance and other departments, as needed. Serve as point person on maintenance requests that are received, working with the Property Director and field Rangers to prioritize and address. Handle vendor requests and visits, as well as assisting Property Director in the maintenance of vendor relationships and contracts. Provide support in special projects assigned, including assisting the CFO in risk management and safety projects.
ACCOUNTABILITIES
Serves in many capacities as the back up to the Properties Director. This includes vendor support and facilitating needs with field Rangers, as delegated by Properties Director, or in Director's absence. Serve as primary contact for all property department vendors and maintenance requests. Develop, manage and monitor maintenance requests, working with the Property Director, as needed. Ensure proper coding of property expenses and that overall expenses are managed within budget. Maintains longitudinal expense records by facility to assist with expense management and analysis. Works with Property Director and CFO on development of annual operational budgets, forecasts and supportive narrative. Assists CFO in miscellaneous financial analysis on properties, as needed. Maintain timely and up-to-date vendor files and contact information, including W9s, Certificates of Insurance, contracts, etc. Tracks expiration of utility contracts and facility leases, notifying Property Director of same. Maintain and monitor current and projected status, including costs and folders, for all capital projects. Supports Property Director and CFO in capital project status reviews and planning. Works with Finance on capitalization of same. Contribute to development and updating of strategic plans for each property, working with Property Director, Field Rangers and CFO. Ensure that all contracts, licenses, insurance certificates and permits concerning properties, vendors and services are current, filed and posted as required. Facilitate filing of Mutual of Omaha accident claims, working with insurance company and volunteers. Responsible for maintaining file of incident reports. Work with CFO, Property Director and others on risk management and safety plans and procedures for the council. Support safety training needs for staff. Ensure that maintenance-related materials and procedures comply with various government regulations. Maintain an up-to-date inventory of facilities, their contents, and maintenance schedules. Support Council diversity initiatives. Perform other duties as assigned.
POSITION REQUIREMENTS
Bachelor's Degree preferred or equivalent experience. Two (2) years of property management or vendor management experience preferred. Experience in creating and maintaining budgets as well as coding and processing invoices. Strong software skills, including MS Office suite. Knowledge or experience in safety or risk management procedure writing a plus. Conveying a positive Girl Scout image. Some evenings and weekend work may be required.
