We are presently seeking an Assistant Community Manager for two properties located in Woodburn, Oregon . The Assistant Community Manager supports the Community Manager, serving as the property's primary leasing agent and inspector and acting as a concierge for residents through daily phone calls and in-person office visits. The Assistant Community Manager owns day-to-day leasing, marketing, and property inspections while assisting the Community Manager with managerial and administrative tasks.
GENERAL RESPONSIBILITIES
Resident Concierge & Communication Serve as a primary on-site point of contact for residents and prospects — daily phone calls, emails, and in-person office visits — responding the same day (no later than 24 hours). Provide friendly, helpful, concierge-level service to residents and guests, directing questions and requests to the appropriate team member. Document all resident and prospect communications in AppFolio "Notes" by end of business day. If approached by a resident or vendor with a payment or document, redirect them to the appropriate team member; do not accept physical payments or documents. Leasing & Marketing Serve as the property's primary leasing agent — conduct in-person and self-guided tours and move-in appointments on schedule, using sales skills and current market knowledge. Contact all new guest cards within 24 business hours — bulk responses daily and calls within 24-48 business hours — and manage AppFolio CRM and EliseAI effectiveness. Convert tours to applications and monitor traffic, conversion ratios, and move-out reasons; support physical occupancy at or above 95%. Post and track Craigslist and Facebook Marketplace ads and physical marketing (Community Manager approval); conduct weekly marketing audits so AppFolio and ILS sites reflect accurate vacancy information; shop competitors quarterly per Atlas' Secret Shop policy. Before tours, walk the tour path and vacant homes to ensure cleanliness per Atlas' rent-ready standards, and report deficiencies to the Community Manager. Move-In & Leasing Execution Generate leases, confirm rent-ready status, and coordinate inspections and lockbox/key delivery for upcoming move-ins. Ensure leases are fully executed — with move-in funds, proof of renter's insurance, and utilities — before transferring possession; upload all move-in documentation to AppFolio. Monitor unit availability by checking the "Available On" date and adjust the leasing and move-in process accordingly. Property Inspections & Curb Appeal Serve as the property's primary inspector — conduct formal property inspections in AppFolio at least every other week; document findings and follow up with the Community Manager to resolution. Participate in quarterly and annual inspections; audit keys, lockboxes, parking, storage, mailboxes, and access controls; recommend repairs, replacements, and improvements. Unit Move-Out & Turn Inspections Conduct move-out and post-turn inspections within one business day; notate all tenant damage in AppFolio to capture chargebacks; follow the Atlas Move-Out Unit Turnover SOP. Assign the turnover work order to the Maintenance Technician, schedule the post-turn re-inspection, and notify the Community Manager when the turnover is complete so the SODA can be finalized. Vendor Coordination Meet vendors on-site and oversee scheduled appointments; coordinate sheriff lockouts with the Community Manager and legal counsel. Report vendor performance and flag concerns to the Community Manager. Resident Violations & Communication Report resident violations, concerns, and feedback to the Community Manager promptly and accurately; provide ongoing updates on the status of open violations. Post and mail notices as directed and approved by the Community Manager, in strict compliance with state-specific service requirements. Conduct all on-site appointments in accordance with Fair Housing, Landlord-Tenant Laws, and OSHA, as well as Atlas Policies and Procedures. Risk Management & Safety Support property risk management and safety standards; conduct life-and-safety inspections per Atlas policy. Communicate hazards and liability risks promptly and complete Incident Reports, sharing with the Community Manager, Portfolio Manager, and HR. AppFolio & Documentation Complete all assigned AppFolio workflows promptly and accurately; log leasing activity, inspections, photos, and field findings by end of business day. Maintain accurate, organized records in accordance with Atlas Policies and Procedures. Management Support Assist the Community Manager with lease administration, renewals, notice preparation, SODA preparation, and ledger tasks as directed. Support the Community Manager with reporting, budget-related tasks, and day-to-day property operations. Escalate to the Community Manager promptly when legal recourse is mentioned or suspected, or when a situation presents significant risk to residents, the asset, the client, or the company. Reporting & Administration Submit required weekly, monthly, and periodic reports and trackers (including per-property JotForms); complete expense reports; ensure the accuracy of personal hours recorded; attend team meetings. Professional Standards Maintain current working knowledge of Oregon and/or Washington landlord-tenant law, state and federal Fair Housing laws, and all applicable Atlas policies and procedures. Remain available to the Community Manager and Atlas team members by phone and email during business hours, responding promptly and professionally. Attend all training and development curriculums assigned by Atlas. Adhere to all Atlas policies, procedures, and guidelines as outlined in the Atlas Management Employee Handbook.

Skills & Abilities:
Excellent written and verbal communication. Strong organization and time management. Attention to detail for inspections, move-in documentation, and recordkeeping. Ability to work independently with minimal supervision.
PHYSICAL DEMANDS
This position involves work in an office and outdoors. While performing the duties of this job, the employee is regularly required to stand and walk. Has frequent need to perform the following physical activities: bend/stoop/squat, climb stairs, push or pull, reach above shoulders. Constant needs to perform the following physical activities: writing/typing, grasping/turning, and finger dexterity. Lifting/carrying less than 25 pounds.
