PROPERTY OPERATIONS DIRECTOR POSITION SUMMARY
DewBoi Properties, LLC is seeking a highly organized, professional, and dependable Property Operations Director to oversee the day-to-day operations of approximately 22 residential and commercial properties. This position is responsible for keeping the company's property operations running efficiently, including tenant billing and invoicing, payroll, leasing, apartment rentals, property listings, accounts payable, Airbnb/VRBO management, maintenance coordination, and general office administration. The ideal candidate is a strong multitasker who can work independently, communicate professionally with tenants, vendors, employees, and management, and keep multiple properties and projects organized at the same time.
PRIMARY RESPONSIBILITIES
PROPERTY & TENANT
MANAGEMENT
Oversee the daily operations of approximately 22 properties.
Manage tenant accounts and ensure monthly rent and utility charges are accurately invoiced.
Prepare and maintain tenant invoices and billing records.
Monitor tenant accounts and follow up on outstanding balances as needed.
Prepare, organize, and maintain residential and commercial leases.
Prepare lease renewals, notices, and other tenant correspondence.
Show available apartments and commercial spaces to prospective tenants.
Rent and fill vacant apartments in a timely manner.
Maintain accurate records for tenants, leases, deposits, payments, and property information.
Respond professionally to tenant questions, concerns, and requests.
Coordinate tenant move-ins and move-outs.
ACCOUNTING & FINANCIAL ADMINISTRATION
Process monthly tenant rent and utility billing.
Enter and maintain financial information in QuickBooks.
Process payroll and maintain accurate payroll records.
Enter invoices and bills into the accounting system.
Review and pay company and property-related bills.
Maintain organized accounts payable and receivable records.
Track utility charges and other property-related expenses.
Assist with financial reporting and reconciliation.
Maintain accurate documentation and records for all financial transactions.
LEASING & MARKETING
List available apartments and properties on appropriate rental platforms.
Maintain and update property advertisements.
Take and maintain accurate property information, photos, and listing details.
Respond to prospective tenant inquiries.
Schedule and conduct apartment showings.
Coordinate applications, approvals, lease signing, and move-in procedures.
Work to minimize vacancy periods.
SHORT-TERM RENTAL MANAGEMENT
Manage Airbnb and VRBO properties.
Maintain accurate listings, pricing, availability, and property information.
Respond to guest inquiries and messages professionally and promptly.
Coordinate guest reservations, check-ins, and check-outs.
Coordinate cleaning and turnover between guests.
Monitor guest concerns and arrange repairs or maintenance when necessary.
Ensure short-term rental properties are clean, organized, and properly prepared for guests.
MAINTENANCE & PROPERTY OPERATIONS
Manage and coordinate the company's maintenance crew.
Receive, organize, and prioritize maintenance requests.
Determine what repairs and maintenance are needed at each property.
Schedule maintenance work and ensure repairs are completed in a timely manner.
Communicate repair needs to maintenance employees and outside contractors.
Follow up on outstanding maintenance issues.
Conduct property inspections as needed.
Maintain organized records of repairs, maintenance, and property improvements.
Help prioritize emergency, urgent, and routine maintenance.
Ensure properties are maintained in a clean, safe, and professional condition.
Coordinate cleaning and turnover of vacant units.
Inspect units after cleaning and before new tenants move in.
OFFICE & ADMINISTRATIVE RESPONSIBILITIES
Maintain organized property files and records.
Prepare letters, notices, leases, invoices, and other company documents.
Manage email correspondence and office communications.
Schedule appointments, showings, inspections, repairs, and meetings.
Maintain calendars and task lists.
Communicate with owners, employees, tenants, vendors, contractors, and prospective tenants.
Keep management informed of important property issues, financial concerns, vacancies, and outstanding repairs.
Assist with general office operations as needed.

This position requires someone who can switch between tasks throughout the day—for example, processing payroll and tenant invoices in the morning, showing an apartment, coordinating a maintenance repair, responding to an Airbnb guest, paying bills, and preparing a lease. The Property Operations Director must be dependable, organized, professional, and comfortable wearing many hats in a growing property-management operation.

Ability to work in an office environment as well as visit and inspect properties.
Ability to travel between company properties as needed.
