Job Description
Community Operations Manager (HOA/Condominiums) Do you enjoy solving problems, managing projects, and building relationships while working in the field? Are you looking for a role where every day is different and your work has a visible impact? Superior Property Group manages condominium and homeowner associations throughout the greater Madison area. We're seeking a Community Operations Manager to directly manage one large community while also serving as our company's in-person representative across the communities we manage. You'll serve as the dedicated Property Manager for one association, overseeing its day-to-day operations, Board relationships, vendors, projects, and community needs. Across our broader portfolio, you'll provide the on-site support that keeps projects moving and helps our remote Property Managers keep communities operating at their best. If you're organized, proactive, and enjoy taking ownership of your work, you'll play a key role in protecting our clients' investments and delivering exceptional service. You'll be trusted to make decisions, solve problems, and represent Superior Property Group in the communities we serve. No two days are the same. One day you may be managing the needs of your assigned association, meeting with contractors, and communicating with Board members. The next, you could be inspecting another community, overseeing a roofing project, or helping coordinate emergency repairs after a storm. A Typical Week Might Include Managing the day-to-day needs and priorities of your assigned association Walking condominium communities and identifying maintenance concerns Meeting contractors and coordinating repairs or project progress Attending a Board meeting and following up on action items Documenting inspections and updating Property Managers on field conditions Meeting homeowners or Board members on-site Helping oversee a capital improvement project What You'll Do Association Management Serve as the dedicated Property Manager for one large community, overseeing day-to-day operations, owner communication, vendors, maintenance, financial priorities, and community needs. Serve as the primary point of contact for the Board of Directors, attend meetings, coordinate priorities, and ensure Board decisions and action items are carried through. Oversee the Association's ongoing operations, including budgeting, contracts, projects, rule enforcement, owner communication, and coordination with Superior's accounting and maintenance teams. Community Operations Serve as Superior Property Group's primary in-person representative across our broader portfolio of condominium and homeowner associations. Partner with remote Property Managers as their eyes and ears in the field, helping keep communities well maintained, projects moving, and Boards receiving exceptional service. Build strong relationships with Board members, homeowners, contractors, and vendors while representing Superior with professionalism and accountability. Attend Board meetings as needed and follow through on assigned action items. Property & Community Oversight Routinely visit assigned communities to evaluate overall property conditions, identify maintenance concerns, safety hazards, deferred maintenance, and opportunities for improvement. Document observations with photographs and detailed reports, ensuring issues are communicated, prioritized, and tracked through resolution. Identify potential issues early and recommend practical solutions before they become larger or more costly repairs. Project & Vendor Management Coordinate maintenance and capital improvement projects from planning through completion, helping ensure projects remain on schedule, within budget, and meet quality expectations. Meet with contractors on-site, coordinate access, monitor progress, and verify completed work meets contract specifications. Assist in managing projects including roofing, siding, asphalt, concrete, landscaping, drainage improvements, and other community capital improvements. Association Compliance Maintain a working knowledge of each Association's governing documents and identify compliance concerns during routine community visits. Document violations and communicate findings to the assigned Property Manager to support consistent enforcement of community standards and Board policies. Administration Maintain organized Association records, governing documents, contracts, inspection reports, project files, vendor communications, and other required documentation. Utilize property management software, mobile inspection tools, and Google Suite to document activities and communicate with the team. Handle deposits, document processing, record updates, mailings, and other administrative tasks that support Association and company operations.

While experience is important, we're ultimately looking for someone who is dependable, proactive, and committed to delivering exceptional service. Experience in property management, condominium or homeowner associations, facilities management, construction management, project management, commercial real estate, or a related field. Proven ability to manage multiple projects, priorities, and deadlines while staying organized and following through on commitments. Excellent communication and interpersonal skills, with the ability to build trust and maintain professional relationships with Board members, homeowners, contractors, vendors, and teammates. Self-motivated and dependable, with the ability to work independently, manage your schedule, and make sound decisions in the field. Strong attention to detail and the ability to identify issues, recommend practical solutions, and proactively resolve problems. Comfortable using technology throughout the workday, including Google Workspace, smartphones, tablets, and cloud-based software. Willingness to occasionally attend evening Board meetings and respond to urgent property issues when needed. A valid driver's license, reliable vehicle, and the ability to travel throughout the greater Madison area. A Wisconsin Real Estate Salesperson License (or the ability to obtain one within six months of hire we'll help you get there). Bonus Qualifications Experience managing condominium or homeowner associations. Experience coordinating contractors, vendors, or capital improvement projects. Knowledge of building systems, construction, maintenance, or property inspections. Wisconsin Community Association Manager (CAM) designation or other industry certifications. Physical Requirements Regularly walk condominium communities, including sidewalks, parking lots, and common areas. Climb stairs and navigate multi-story buildings.
