Job Overview We are seeking a dynamic and strategic Director of Leasing Operations to lead our leasing team and drive the success of our property portfolio. In this pivotal role, you will oversee all aspects of leasing activities, ensuring compliance with fair housing regulations, Section 8 programs, and LIHTC (Low-Income Housing Tax Credit) requirements. Your leadership will foster a customer-centric environment, optimize leasing processes, and enhance property occupancy rates. This position offers an exciting opportunity to shape leasing strategies, manage complex contracts, and coordinate with property management teams to deliver exceptional service and operational excellence. Administrative & Leadership Responsibilities Serve as the primary administrative support to property ownership and PAC Management leadership. Oversee daily leasing operations and office functions to ensure efficient property performance. Supervise, train, support, and evaluate on-site and remote leasing staff. Lead recruiting, interviewing, hiring, onboarding, and training of leasing and administrative staff. Make staffing recommendations and participate in performance evaluations, disciplinary actions, promotions, and terminations as necessary. Maintain office coverage and staffing schedules to ensure operational efficiency and excellent customer service. Provide leasing coverage during staff vacations, sick leave, and other absences as needed. Assist with implementation and enforcement of company policies, procedures, and leasing standards. Work closely with the company bookkeeper to monitor property budgets, review expenses, and ensure accurate financial reporting and expense management. Review property performance, occupancy trends, leasing activity, and operational expenses with ownership and management as needed. Coordinate communication between leasing staff, maintenance personnel, vendors, ownership, and management. Foster a positive and professional office culture by promoting teamwork, accountability, employee engagement, and staff morale. Lead regular office staff meetings to communicate company initiatives, review operational goals, address concerns, and support team development. Assist with training, coaching, and professional development opportunities for office and leasing personnel. Support special projects, operational improvements, and company-wide initiatives as assigned. Collaborate with the development team during design phase to recommend unit mix, amenity packages, and pricing strategies that support targeted lease-up performance and proforma assumptions. Marketing & Resident Outreach Develop market-based rent structures, pricing strategies, absorption schedules, and concession packages for new multifamily projects (provide these projections for internal proformas) Define and maintain realistic marketing budgets for new developments and the existing portfolio (incorporate these into project proformas, operating budgets, and financial models). Coordinate annual marketing initiatives and community outreach efforts with local organizations, employers, school districts, and community partners. Develop and implement marketing plans for new construction communities from groundbreaking through stabilization. Establish lease-up goals and marketing strategies that align with approved proforma occupancy and revenue projections. Create and manage pre-leasing campaigns, including waitlists, interest lists, lead generation efforts, and community awareness initiatives prior to property opening. Coordinate grand opening events, model unit tours, open houses, and community engagement activities to support lease-up objectives. Build relationships with local employers, economic development organizations, relocation services, schools, healthcare providers, and community groups to generate referral opportunities. Monitor and evaluate lease-up performance, traffic sources, conversion ratios, occupancy trends, and competitor activity to ensure leasing goals are achieved. Recommend and implement corrective marketing and leasing strategies when occupancy targets fall below proforma expectations. Maintain and update property websites, online listings, and social media platforms to ensure accurate, professional, and timely property information. Assist with advertising campaigns, resident communications, promotional activities, and brand awareness initiatives. Coordinate professional photography, virtual tours, signage, and marketing collateral for new and existing communities. Track marketing performance metrics and provide regular reporting on lead generation, leasing activity, occupancy trends, and return on marketing investment. Support resident retention efforts through ongoing communication, resident events, satisfaction initiatives, and community engagement programs. Track marketing ROI and provide data-driven recommendations for future budget allocations and campaign strategies. Leasing & Resident Relations Oversee all leasing and resident relations activities to ensure exceptional customer service and compliance with company standards. Supervise and support on-site and remote leasing staff in responding to phone calls, emails, text messages, and resident inquiries in a timely and professional manner. Ensure prospective residents receive prompt follow-up and high-quality leasing experiences, including apartment tours and application assistance. Oversee rental application processing and applicant screening procedures. Review and ensure accurate preparation of lease agreements, renewals, notices, and related leasing documentation. Manage lease renewal programs and resident retention initiatives to support occupancy goals. Ensure accurate maintenance of tenant records, databases, and leasing reports. Oversee move-in and move-out procedures, including: Lease and addendum execution Key distribution and resident orientation Move-in inspections and documentation of unit condition Coordination of apartment turnover readiness Monitor rent collection processes and ensure late notices and resident communications are issued as required. Oversee administration of building access systems and resident security information. Ensure resident contact information remains current and community notifications are distributed appropriately. Serve as the primary escalation point for resident concerns, complaints, and lease-related issues. Monitor leasing performance, resident satisfaction, and occupancy trends, implementing improvements as needed. Property Operations & Maintenance Coordination Work closely with maintenance staff to support day-to-day property operations. Coordinate apartment turnover schedules and unit readiness. Evaluate and coordinate unit upgrades, flooring replacements, and capital improvement needs. Schedule and track routine building inspections. Conduct regular property walk-throughs and exterior assessments. Monitor property appearance and identify maintenance concerns requiring attention. Coordinate cleaning, repairs, and vendor services as needed. Prepare and present regular portfolio performance reports, budget-to-actual analyses, occupancy trends, and NOI forecasts to ownership and management. Compliance & Occupancy Management Follow and enforce established company procedures for resident move-ins and move-outs. Initiate lease enforcement actions and coordinate eviction procedures when necessary. Prepare and coordinate legal documentation related to lease violations, nonpayment, and eviction actions. Represent ownership and management in small claims court, eviction hearings, and judgment proceedings as necessary. Coordinate collection efforts on delinquent accounts, unpaid balances, and bad debt, including obtaining and enforcing court judgments when applicable. Work with attorneys, collection agencies, and court officials to recover outstanding balances and protect property interests. Maintain resident files and ensure compliance with company policies, fair housing requirements, and applicable housing regulations. Monitor occupancy levels, leasing activity, and resident retention efforts to support property performance goals. Ensure leasing operations remain compliant with company standards and regulatory requirements.
