This position coordinates tenant, customer service and owner related requests. Duties include tracking of correspondence and reports, customer service management, ensuring buildings are show ready and properly maintained. This position is a part of the Property Management Team and reports to the VP of Property Management. In addition, the position requires the ability to multi-task in a fast-paced environment with a variety of real estate disciplines.
DUTIES AND RESPONSIBILITIES
Serve as primary contact for a wide range of tenant service issues, coordinate service calls with construction and maintenance contractors and other vendors. Responsible for the day to day operations of a variety of properties. Report any major issues, concerns or potential projects to the Property Manager Participate in monthly meeting with Property Managers and monthly strategy sessions with Portfolio Manager to discuss status of current property issues as well as forecasting future needs. Update Property Management Team Meeting Notes identifying operational priorities and recommendations for resolving outstanding issues. Manage tenant and building sign program (procure and coordinate installation of tenant and building signage). Prepare and maintain tenant contact/mailing lists for all properties. Administer lease-related paperwork, prepare lease correspondence, generate all necessary paperwork associated with tenant move-ins and new tenant files (Certificates of Occupancy, Insurance Certificate, Lease Commencement Memorandums, Signed/Notarized Lease and Lease Summary). Also, verify and maintain tenant insurance records log and update and distribute property handbooks to new tenants. Maintain equipment and personal property inventory at each building. Compile detailed property information on computer files; including real estate tax and construction warranty information. Prepare Service Agreements and Work Orders and Purchase Orders. Manage vendor contracts including maintaining vendor lists. Review and reconcile vendor invoices with purchase orders/quotes and assist project accountant in coding to the proper general ledger account as well as obtaining necessary invoice approvals. Advise VP of Property Management or Property Managers on any property environmental and safety issues. Assist in maintaining key box Maintain tenant emergency preparedness manuals. Dispatches and assists maintenance person(s) through PRISM Maintains emergency contact logs for all tenants. Assure tenant compliance of all HVAC maintenance requirements as well as maintaining the vendor service report file. Collects vendor certificates of insurance and assures that they in compliance with the property owner(s) standards. Organizes & maintains database for all tenants, vendors and subcontractors. Assures that operations and maintenance manuals for all properties are available for reference. Responsible for maintaining the tenant/building utility spreadsheets. Is flexible to shifting priorities and duties as changes occur. Maintains and updates property management reports & spreadsheets as needed. Schedules meetings; make travel arrangements; generates or updates information as necessary. Demonstrates an understanding of operating budgets.
QUALIFICATIONS
High school diploma or equivalent. 1-2 Years of Property Management experience in a Commercial Real Estate environment. Must possess a positive attitude and a willingness to excel and grow in the property management field. Person must possess excellent interpersonal skills and effective verbal and written communication abilities. Strong accounting and budgeting skills a plus. Familiar with Tenant Leases needed. Advanced PC proficiency (Excel and Office) and experience with MS Office software; MRI, Yardi, Prism software experience helpful. Individual must have the ability to work independently as well as function in a flexible, team-oriented work environment. Must demonstrate strong organizational skills and the ability to coordinate and prioritize numerous activities to ensure that work is completed in an accurate and timely fashion.
JOB TYPE
Full Time - Monday through Friday, 8 a.m. to 5 p.m. Normal office environment.
