Job Description

Position Summary Hempel Real Estate is seeking an experienced Residential Property Manager to oversee the day-to-day operations and financial performance of an assigned multifamily portfolio in Milwaukee. The Residential Property Manager is responsible for the overall management and financial success of the assigned properties. This position will lead property operations, leasing and renewals, resident relations, collections, maintenance coordination, staff performance, budgeting, and financial reporting. The ideal candidate is a hands-on leader who takes ownership of property performance, communicates effectively, follows through on commitments, and can balance a high level of resident service with the operational and financial objectives of the property. Leasing & Occupancy Maintain occupancy levels in accordance with property budgets and ownership objectives. Lead leasing operations and work closely with leasing staff to achieve established leasing goals. Monitor prospect traffic, leasing activity, closing ratios, applications, move-ins, move-outs, and unit availability. Develop and execute leasing and marketing strategies to increase traffic and maintain targeted occupancy. Oversee the renewal process and ensure renewal offers and resident follow-up are completed timely. Monitor market conditions, rental rates, concessions, and competitor activity and make recommendations as needed. Maintain accurate and current leasing and occupancy data. Audit lease files and resident documentation to ensure compliance with company policies and procedures. Support leasing efforts directly when needed, including prospect tours, phone calls, and resident communications. Property Management Direct day-to-day property operations and onsite staff in an efficient and cost-effective manner. Maintain a high standard of property appearance, cleanliness, safety, and overall resident experience. Hire, train, manage, motivate, and develop property staff. Establish clear expectations for employees and hold team members accountable for performance and follow-through. Manage resident relations and address escalated resident concerns in a timely and professional manner. Enforce lease requirements, community policies, and property rules consistently. Ensure move-ins, move-outs, transfers, and other resident processes are completed accurately and professionally. Maintain compliance with company policies, Fair Housing requirements, applicable landlord-tenant regulations, and other governing requirements. Conduct regular inspections of the property, common areas, vacant units, grounds, and other building areas. Identify property concerns and operational issues early and coordinate appropriate corrective action. Collections & Accounts Receivable Supervise rent collection and resident account activity. Review delinquency regularly and proactively pursue outstanding balances. Ensure required notices and collection procedures are completed accurately and within established timelines. Coordinate eviction and collection activity when necessary. Work closely with accounting to resolve resident ledger discrepancies and other receivable issues. Maintain a strong focus on reducing delinquency and bad debt. Financial Management Prepare annual operating budgets and forecasts for assigned properties. Regularly monitor property financial performance and compare actual results to budget. Review monthly financial statements and investigate significant variances. Develop strategies or recommend adjustments when needed to meet property objectives. Monitor operating expenses and identify opportunities to improve efficiency while maintaining property standards. Review and approve invoices, purchase orders, and property expenses within established authority levels. Prepare and review monthly property financial reporting in conjunction with the Property Accountant. Maintain a working understanding of property revenue, occupancy, concessions, delinquency, bad debt, operating expenses, and NOI performance. Maintenance & Property Operations Work closely with maintenance personnel to ensure work orders and resident service requests are completed timely and professionally. Monitor outstanding and aging work orders and follow up until issues are resolved. Coordinate and prioritize unit turns to minimize vacancy downtime. Direct maintenance activities including repairs, preventative maintenance, inspections, and property improvements. Conduct regular vacant-unit and property inspections. Coordinate third-party vendors and contractors when necessary. Review proposals and assist with property projects and capital improvements. Ensure properties comply with company standards and applicable regulatory requirements. Communicate proactively with residents regarding maintenance activities, service interruptions, projects, or other issues affecting the property. Leadership & Communication Serve as the primary onsite leader for assigned property. Maintain regular communication with company leadership regarding property performance, resident concerns, staffing, maintenance issues, and other significant matters. Escalate significant operational, financial, safety, or resident issues promptly. Conduct regular meetings with leasing and maintenance teams to review priorities and outstanding items. Maintain organized tracking of projects, resident issues, work orders, leasing priorities, and follow-up items. Create a culture of accountability, responsiveness, teamwork, and resident service.
Requirements / Qualifications
2-4 years of multifamily property management experience preferred. Previous experience managing or supervising employees. Experience preparing and managing property budgets and forecasts. Strong understanding of leasing, renewals, collections, resident relations, and property operations. Ability to review property financial statements and understand operating performance. Strong written and verbal communication skills. Demonstrated ability to provide a high level of resident service and relationship management. Ability to manage multiple priorities, shift direction throughout the day, solve problems creatively, and operate with a strong sense of urgency. Self-starter who takes ownership of responsibilities and follows assignments through completion. Strong organizational and time-management skills. Knowledge of Fair Housing and applicable landlord-tenant requirements. Proficiency with Microsoft Office and residential property management software.
