Job Description

Property Management Leasing & Administrative Coordinator Position Overview Candlewood Property Management is seeking a detail-oriented, organized, and dependableProperty Management Administrative & Leasing Coordinator to join our team. This position focuses primarily on leasing administration, lease signing, and resident services, with additional responsibilities involving basic bookkeeping and tenant account management. The ideal candidate will enjoy working with people, be confident communicating with prospective and current residents, and have a strong attention to detail when preparing and processing lease documents. Key Responsibilities Leasing & Resident Services Prepare, process, and accurately execute lease agreements, amendments, addenda, and other leasing documents. Coordinate and facilitate the lease signing process with new residents. Track lease deadlines, move-ins, and move-outs. Respond professionally to prospective and current tenant questions and concerns. Assist with leasing inquiries, applications, move-in coordination, and resident onboarding. Communicate lease terms, company policies, and requirements clearly and professionally. Maintain accurate leasing and tenant records in the property management system. Communicate and enforce company policies and lease requirements. Occasionally conduct apartment showings and tours for prospective residents. Assist with property inspections, curb appeal, and other property management tasks as needed. Administrative & Financial Support Accurately process incoming rent payments and apply payments to tenant accounts. Process and maintain security deposit records and transactions. Assist with basic bookkeeping and accounting-related tasks. Review tenant accounts for accuracy and follow up on discrepancies or outstanding items. Maintain organized and accurate electronic records. Ideal Candidate Strong attention to detail and excellent organizational skills. Excellent interpersonal and customer service skills. Professional verbal and written communication skills. Confident and assertive when communicating and enforcing company policies. Strong follow-through and ability to manage multiple priorities and deadlines. Comfortable working independently and as part of a team. Proficient with Microsoft Office, Google Workspace, and general computer systems. Willing and able to learn property management software and company systems. Wisconsin real estate license preferred, or willingness to obtain one. Ability to remain active throughout the day, including conducting showings and visiting properties. Comfortable working outdoors in various weather conditions. Reliable transportation and ability to travel between properties as needed. What We're Looking For We are looking for someone who is professional, personable, organized, and confident working with both prospective and current residents. The right candidate will be a partner in the leasing process, pay close attention to detail when preparing contracts, communicate effectively, and provide positive and professional experience throughout the leasing process. Experience in real estate, leasing, property management, customer service, or administration is a plus.
