Job Description

The University of Virginia seeks applications for an Assistant Director of Assignments. The Assistant Director of Assignments is a full-time, twelve-month position reporting directly to the Director of Assignments within Housing and Residence Life. The Assistant Director works closely with other professionals in the administration and management of a comprehensive residence life and housing program that serves 7000+ residential students. The Assistant Director has the responsibility for leading various housing processes, such as housing applications, assignments, reporting and billing for undergraduate, graduate, faculty and staff on-Grounds housing. The Assistant Director has 2-3 full-time direct reports.
Essential Functions:
Housing Assignments Administration (40%) Coordinates all activities associated with undergraduate, graduate, faculty and staff housing processes. Processes include application, renewal, cancellation, assignment, waitlist coordination, special student populations, etc. Responsible for regular billing and data reconciliations and resulting updates in department systems, as well as other University systems (SIS, UBI, etc.). Ensures appropriate processing of all charges and payments. Responsible for the preparation and analysis of periodic occupancy reports to assist in the forecasting and development of an occupancy management plan. Supervision (25%) Provides leadership to the assignments area through the supervision and development of 2 full-time Assignments Coordinators. Sets clear staff expectations and provides direction, coaching and mentoring as appropriate. Provides timely feedback and addresses any performance issues appropriately. Monitors and audits day-to-day tasks completed by the Assignments Coordinators. Assesses staff's knowledge, skills, and abilities, and offers training as needed to ensure staff's success in the role. Divisional & University Collaboration (20%) Collaborates with university partners in SDAC as related to housing accommodations, assignment, and reassignment. Provides guidance on availability and assignment recommendations. Housing main point of contact for charges and billing with Student Financial Services and other university stakeholders. Ensures internal partner awareness of move in and move out needs, including but not limited to, facilities inspection/maintenance, space turnaround, access dates and early arrival/late stay processing. Provides a high-level of awareness of operational needs in advance of major periods of transition. Customer Service (10%) Participation in large-scale university events, such as Admissions and Orientation days, webinars, off-campus housing fairs, etc. Provides high-quality customer service to students, families, and campus partners regarding housing assignments and availability. May assist in low-level student conflict mediation. Responds to inquiries via phone, email and in-person communication in a timely and professional manner Communicates housing timelines, procedures and expectations. Advises students on withdrawal and re-enrollment processes and ensures all residents are enrolled in courses in compliance with university policy. Additional Responsibilities (5%) Other duties as assigned.
Minimum Qualifications Education:
Bachelor's degree required.
Experience:
3+ years relevant professional experience required. Candidates should have strong written and verbal communication skills, with a background in customer service and experience working with office technology (Microsoft suite, Zoom, etc.) and databases. Preferred Qualifications Preference will be given to applicants with at least 4 years of experience in a residential management or student assignments area. Direct experience with StaRez or similar housing software is preferred. Physical Demands Most of the work performed is in an office environment. The work schedule for this position is 8:00am-5:00pm, Monday - Friday. Some non-traditional hours may be required during peak operational periods. The anticipated hiring range is $59,000-$69,000, commensurate with education and experience. This is an exempt-level, benefited position. Learn more about UVA benefits .
