Gemsa is looking for a Purchasing Associate to support efficient and accurate purchasing operations through the creation and approval of detailed purchase orders, coordination with suppliers and warehouse personnel, verification of receipts and supporting documentation, resolution of pricing and invoice discrepancies with Accounts Payable, and timely maintenance of purchasing records and ERP system data.
KEY RESULTS&TASKS A.
Purchase Order Creation:
- Create detailed purchase orders for inventory items
- Verify item descriptions, quantities, unit pricing, delivery dates, freight terms, and supplier information
- Obtain required approval before issuing purchase orders
- Work with warehouse managers to create detailed purchase orders for capital expenditures
- Ensure capital expenditure orders include appropriate descriptions, CapEx numbers, accounting codes, approvals and support documentation B.
Supplier Coordination:
- Request and review supplier quotes and pricing
- Communicate with suppliers regarding pricing, lead times, availability, delivery dates and order requirements
- Send/review detailed approved purchase orders to supplier
- Follow up on delayed orders, backorders, and order changes C.
Purchase Order Receipt Process:
- 3 Way Match - Collaborate with receiving department to verify received quantities, packing, slips, receiving documents, and purchase orders
- Document partial receipt, damaged goods, shortages, and overages
- Work with Accounts Payable to resolve invoice discrepancies
- Research and correct differences in pricing, quantities, freight, or purchase order information
- Maintain organized electronic and/or paper records
- Update ERP system information accurately and promptly Education, licenses, & certification
Required:
Minimum of 5 years of experience in same or similar positions in the Manufacturing, or Food Distribution industry
Required:
High School Diploma or GED Equivalent
Ideal:
Bachelor's or Master's College Degree in Business Administration or related field essential qualifications

At least eighteen (18) years of age.
