This position is responsible for soliciting bids, negotiating contracts, coordinating with trade partners and suppliers, managing permit applications, and assisting with cost-control efforts. The ideal candidate will have strong organizational and communication skills, construction industry experience, and the ability to manage multiple priorities in a fast-paced environment. Essential Duties and Responsibilities Purchasing & Contract Administration Develop, communicate, and execute procurement activities for labor and material purchases. Analyze market conditions, material availability, lead times, and pricing to support competitive purchasing decisions. Prepare and issue bid packages, scopes of work, contracts, purchase orders, and change orders. Assemble bid documents, including plans, specifications, insurance requirements, payment schedules, exhibits, and cover letters. Maintain accurate purchasing records and contract documentation. Vendor & Trade Partner Management Solicit bids, negotiate pricing, and award contracts to qualified trade partners and suppliers. Establish and maintain strong relationships with subcontractors, vendors, distributors, and manufacturers. Research and prequalify new trade partners capable of delivering quality workmanship and competitive pricing. Monitor compliance with subcontract agreements and company standards. Assist with the administration and collection of vendor rebate programs. Cost Analysis & Budget Support Review and analyze bids for completeness, accuracy, and scope coverage. Prepare bid comparison summaries and recommendations for management review. Support efforts to maintain or improve project budgets through value engineering and cost-saving initiatives. Research new products, materials, and construction methods that provide added value and improve efficiency. Accounting & Administrative Support Assist the Accounting Department in researching and resolving budget, invoice, and payment issues. Update and maintain subcontract agreements, vendor information, and purchasing databases. Support reporting and documentation requirements as needed. Permit Coordination Manage the submission, tracking, and issuance of building permits with local municipalities. Maintain accurate permit logs and ensure permits are obtained in a timely manner to support construction schedules. Technical Responsibilities Read and interpret construction drawings, specifications, and other contract documents with a high degree of accuracy and attention to detail. Qualifications Required Minimum of four (4) years of purchasing, procurement, estimating, or related construction experience. Experience analyzing direct construction costs and managing budgets. Working knowledge of residential and multifamily construction practices and materials. Proficiency with Sage Timberline and purchasing software systems. Valid driver's license. Strong verbal and written communication skills. Excellent organizational, time-management, and problem-solving abilities. Ability to manage multiple projects and deadlines simultaneously. Preferred Two (2) or more years of experience in the homebuilding industry. Experience with subcontractor bidding, contract administration, and permit processing. Physical Requirements The employee must be able to: Lift and carry up to 20 pounds to waist height. Lift and carry up to 20 pounds to shoulder height. Lift and carry up to 20 pounds overhead.
