Position Overview We are seeking a motivated and detail-oriented Executive Assistant and Purchasing Coordinator to support our Selections Manager with sourcing, pricing, ordering, tracking and organizing all materials and selections for our custom homes. This person will help ensure that the right products are ordered correctly, on time, and at the best value. This person would also be a liason with insurance companies for claims, help with transaction coordinating for our real estate brokerage, put organizational systems in place and assist the owner running errands, organizing files, etc. The ideal candidate works well in a structured schedule, manages stress calmly, maintains a no-drama, professional approach, and demonstrates a strong sense of urgency. Because we are a small team, this role requires a team-first attitude and a willingness to step in and help wherever needed. Key Responsibilities Assist the Selections Manager with all sourcing, ordering, and procurement tasks. Research and source materials, fixtures, finishes, appliances, and specialty items needed for custom builds. Compare pricing, evaluate options, and secure the best deals from vendors and suppliers. Place and track orders; verify accuracy, pricing, availability, and lead times. Maintain organized records of orders, invoices, delivery schedules, and product information. Communicate with vendors, subcontractors, and internal team members to ensure timely delivery and correct materials. Identify potential delays or issues early and provide solutions. Support the Selections Manager with client selections, updates, and change management. Assist with miscellaneous tasks across the company as needed—everyone helps everyone at OklaHome Homebuilders. Required Skills & Qualities Exceptional organization and attention to detail. Ability to follow a structured schedule and manage multiple tasks simultaneously. Calm, professional, and non-emotional demeanor—even during stressful periods. Strong sense of urgency and ability to work under deadlines. Excellent communication skills—both written and verbal. Team player with a willingness to pitch in wherever needed. Strong computer skills (email, Excel/Sheets, online ordering systems). Fast learner with the ability to adapt to new processes and systems. Preferred Qualifications Experience in custom homebuilding, design, purchasing, or construction (preferred but not required). Experience with insurance claims and documentation Familiarity with residential building materials and product categories. Experience in a small business or fast-paced environment. Work Environment Fast-paced, deadline-driven, and occasionally stressful. Highly collaborative small-team culture where flexibility and teamwork are essential.
