Education Operations & Accreditation Specialist APEX Health Education Full-Time | On-Site Reports to:
Executive Director Position Summary:
APEX Health Education is seeking an experienced Education Operations & Accreditation Specialist to lead the operational, academic, regulatory, and accreditation readiness of our healthcare education programs. This position is designed for an experienced postsecondary education professional who understands how a career school should operate from both an educational and compliance standpoint . The ideal candidate has direct experience working within a vocational school, career college, allied health education program, or other regulated postsecondary institution and has participated in accreditation, state authorization, audits, self-studies, site visits, or institutional compliance activities . This is not simply an administrative campus-management position. We are looking for someone who can evaluate our existing educational operations, identify gaps, establish repeatable processes, maintain required documentation, prepare the institution for accreditation, and ensure that our academic and campus operations are consistently executed. As APEX expands into additional campuses and states, this individual will also play an important role in developing company-wide educational operating standards that can be replicated across locations. Key Responsibilities Accreditation & Institutional Readiness Help lead APEX through the institutional and/or programmatic accreditation process. Develop and maintain an accreditation readiness plan, calendar, evidence matrix, and required documentation. Interpret accreditation standards and translate them into operational requirements for staff and instructors. Coordinate preparation of self-study materials, exhibits, policies, reports, outcomes data, and supporting documentation. Prepare the campus, leadership team, instructors, student records, and operational files for accreditation site visits. Conduct internal mock audits and identify deficiencies before external reviews. Maintain organized accreditation binders and electronic evidence repositories. Track corrective actions and ensure identified deficiencies are resolved. Coordinate with outside compliance consultants, leadership, and regulatory professionals as necessary. Educational Operations Oversee the day-to-day educational operations of the campus. Establish and enforce standardized academic and campus operating procedures. Ensure approved curriculum, instructional schedules, program hours, labs, assessments, and student competencies are being delivered consistently. Monitor the LMS and ensure instructors and students are properly utilizing required systems. Ensure attendance, grades, competencies, academic progress, and required documentation are entered accurately and on time. Review academic processes and recommend improvements to Executive Leadership. Help establish systems that can be duplicated across future APEX campuses. Instructor Oversight & Academic Quality Coordinate instructor schedules and classroom/lab coverage. Monitor instructor attendance, punctuality, preparedness, and performance. Conduct classroom and instructional observations. Ensure instructors follow approved curriculum rather than independently modifying program requirements. Coordinate instructor onboarding and LMS training. Identify instructor development and training needs. Maintain appropriate faculty qualification and credential documentation. Ensure instructional practices support certification readiness and student outcomes. Student Success & Retention Monitor student attendance, academic progression, retention, and completion. Establish early-warning processes for students who are falling behind. Coordinate academic interventions, remediation, make-up work, and student success plans. Ensure student concerns are documented, addressed, and escalated appropriately. Work closely with Career Services & Externship leadership to ensure students transition successfully from classroom instruction into externship. Monitor graduation and certification-readiness requirements. Compliance & Regulatory Operations Maintain campus readiness for state inspections, accreditation reviews, and internal audits. Ensure student files, faculty files, academic documentation, campus records, and required postings remain current. Help maintain compliance with applicable state private postsecondary education requirements. Work with APEX's outside Compliance Advisor and Executive Director to identify regulatory deadlines and required submissions. Maintain documentation demonstrating compliance with policies, procedures, curriculum requirements, student outcomes, and educational standards. Immediately escalate potential compliance or regulatory concerns to Executive Leadership. Policies, SOPs & Multi-Campus Standardization Help develop and maintain APEX's educational operations SOPs. Create standardized processes, checklists, forms, trackers, and audit tools. Ensure policies are being implemented in practice—not simply maintained as written documents. Maintain document-control and version-control standards. Identify operational inconsistencies and develop corrective processes. Help create the operational infrastructure necessary to replicate APEX's educational model across additional campuses and states. Campus Operations Ensure classrooms, labs, equipment, supplies, and educational resources are ready for instruction. Coordinate operational needs with company leadership and administrative staff. Maintain a professional, organized, student-centered campus environment. Identify facility, technology, equipment, staffing, or operational issues that could interfere with instruction. Maintain clear communication between instructors, students, administration, Career Services, Enrollment, Compliance, and Executive Leadership. What We Are Looking For The strongest candidate will have experience inside a regulated postsecondary education environment and understand that accreditation requires much more than preparing paperwork before an audit. We are specifically seeking someone who understands the relationship between: Curriculum → Instruction → Faculty Qualifications → Attendance → Student Records → Competencies → Student Outcomes → Externships → Graduate Outcomes → Compliance → Accreditation Evidence The successful candidate should be able to walk into a school, evaluate how these functions currently operate, identify what is missing, and build a structured system to correct those gaps. Required Qualifications Experience in postsecondary education, career education, vocational education, allied health education, or a related regulated educational environment. Demonstrated understanding of educational operations and academic administration. Experience with accreditation, regulatory compliance, institutional audits, state authorization, self-study preparation, or site visits. Experience managing or auditing student academic records. Knowledge of instructor/faculty documentation and qualification requirements. Experience working with LMS or student information systems. Strong documentation, organization, and project-management skills. Ability to interpret standards, regulations, and policies and translate them into operational processes. Strong written and verbal communication skills. Ability to hold staff accountable to established processes and deadlines. High attention to detail and ability to maintain audit-ready documentation. Strongly Preferred Previous experience as an Accreditation Specialist, Director of Education, Academic Operations Manager, Compliance Manager, Campus Director, Registrar, School Director, or Education Operations Director . Experience working for an allied health or healthcare career school. Direct participation in an accreditation self-study or site visit. Experience working with institutional or programmatic accrediting bodies. Experience preparing institutions for state regulatory inspections. Experience developing SOPs, compliance matrices, audit tools, or accreditation evidence systems. Experience supporting multiple campuses or preparing an educational organization for expansion. Key Performance Expectations Success in this position will be measured by accreditation readiness, audit readiness, academic documentation accuracy, student retention and progression, instructor compliance, LMS utilization, faculty credential completeness, student-record compliance, timely resolution of corrective actions, and consistent implementation of APEX educational operating standards. Within the first 90 days, this individual should be able to provide Executive Leadership with a clear assessment of APEX's current educational operations and accreditation readiness, identify material gaps, establish an action plan, assign accountability, and begin implementing standardized systems to address those deficiencies. Decision-Making Authority The Education Operations & Accreditation Specialist will have authority over routine educational and campus operations within established APEX policies and procedures, including instructor coordination, student academic interventions, LMS implementation, documentation requirements, campus-level compliance activities, accreditation preparation, and operational process implementation. The position does not have independent financial authority . Purchases, contracts, compensation changes, vendor commitments, tuition decisions, refunds, scholarships, and other financial commitments require approval from the Executive Director. Material changes involving curriculum, program structure, institutional policy, accreditation strategy, regulatory representations, staffing structure, or company-wide operations must be communicated to and approved by the Executive Director and/or President/Founder before implementation.
