Job Overview We are seeking a dynamic and highly organized Operations Coordinator to join our team! In this vital role, you will oversee a wide range of administrative, financial, and operational functions to ensure smooth daily operations. Your energetic approach and attention to detail will help streamline processes, manage donor relationships, coordinate events, and support team management efforts. Duties Coordinate and support event planning activities, including logistics, vendor communication, and on-site management. Manage scheduling for executives and team members using calendar management tools, ensuring optimal time utilization. Handle bookkeeping tasks such as invoicing, expense tracking, payroll processing, and budgeting using accounting software like QuickBooks. Maintain accurate records through filing systems, spreadsheets, and database updates while ensuring confidentiality of sensitive information. Provide exceptional customer service by addressing inquiries promptly via phone or email while maintaining professional communication standards. Experience Proven experience in office management or administrative roles with a focus on operations coordination. Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) along with advanced spreadsheet skills for budgeting and financial tracking. Knowledge in accounting software such as QuickBooks or similar financial tools; experience with bookkeeping and payroll is required. Strong organizational skills with the ability to manage multiple priorities simultaneously in a fast-paced environment. Excellent communication skills—both verbal and written—and professional phone etiquette for donor interactions. Experience in event planning, vendor management, human resources functions, and handling confidential information is highly desirable.
