This is the role that makes the whole operation work. If you're the kind of person who finishes what you start, thrives in records and spreadsheets, and takes real pride in being the reason nothing falls through the cracks — keep reading. What you'll do: Own records and compliance. Keep personnel files, driver/MVR records, certifications, and training current and audit-ready. Manage customer compliance portals (ISN, Avetta, Highwire and others), handle COI requests, prequalification and safety questionnaires, and flag renewals 60 days out. Support our people. Be the first stop for California employees on PTO balances, timecard questions, and system access. Coordinate the administrative side of onboarding — DocuSign packets, background checks, drug screening, PPE, first-day logistics — and help team members navigate benefits enrollment. Keep projects on track. Prepare weekly job-cost meeting materials, flag variances, and keep change-order and PO logs current. You'll get comfortable with core construction job-cost concepts (budgets, labor hours, committed vs. actual costs) and know when to raise your hand. Carry the follow-through. Track action items across California operations — site-visit follow-ups, training completion, kickoff requirements — and drive each one to the finish. Deliver a weekly budget-to-actual report to leadership before anyone has to ask. Be the local presence. Serve as the day-to-day point of contact for the California field, coordinate office and equipment needs, set up vendors, and manage device inventory. Respond same-day.
