Please Read Before Applying This is a full-time, in-office position at our corporate headquarters in Chula Vista, California. We are seeking local candidates who can reliably commute and maintain a consistent on-site presence. Because this role supports both employees and executive leadership, regular attendance, punctuality, professionalism, discretion and dependability are essential. About TSG For nearly four decades, The Strathmore Group (TSG) and its affiliated companies have provided innovative services across healthcare, employee benefits, insurance, finance and behavioral science medical device testing. We are a growing organization of approximately 30 employees with a collegial, collaborative culture. We are seeking an experienced, highly organized HR & Operations Coordinator who enjoys a smaller entrepreneurial environment, can wear multiple hats, and brings initiative, sound judgment and follow-through. Position Summary The HR & Operations Coordinator will coordinate the day-to-day human resources function across TSG and its affiliated companies while providing operational and administrative support to executive leadership. The role supports the full employee lifecycle, from recruitment and onboarding through records management, payroll and benefits coordination, attendance and leave administration, performance management, employee relations, compliance, training, and offboarding. Additional responsibilities include coordinating business travel, company events, and selected operational projects. We are looking for someone who takes ownership, anticipates needs, follows matters through to completion, and recognizes when escalation is appropriate. Key Responsibilities Human Resources, Recruitment & Employee Support Serve as an accessible first point of contact for routine employee HR questions while maintaining confidentiality and appropriate professional boundaries. Coordinate recruiting activities, including job postings, applicant screening, initial interviews, candidate communication, references/background checks, offer letters and pre-employment requirements. Coordinate onboarding and orientation, including required documentation, policies, benefit information, system access, company resources and introductory-period follow-up. Maintain complete, accurate and confidential personnel files, HRIS/payroll records, job descriptions, organizational records and employee status changes. Monitor attendance, PTO, leave and timekeeping records; identify discrepancies or patterns requiring follow-up and support consistent policy administration. Coordinate payroll and benefit changes with employees, Accounting, payroll providers and benefit vendors, including new-hire enrollment, qualifying events, annual enrollment and terminations. Maintain the performance-review calendar; coordinate introductory and annual reviews, training, professional development, certifications and related documentation. Assist leadership with employee coaching/corrective-action documentation, employee engagement, morale, communication and culture initiatives; promptly escalate sensitive employee-relations or compliance matters. Assist with employee handbook, policies, required postings, acknowledgments, audits and recurring HR compliance deadlines; coordinate with outside HR/legal resources as directed. Coordinate employee separations using standardized offboarding procedures, including documentation, final payroll/benefit coordination, return of property, access termination and exit interviews when requested. Executive Travel, Office & Operational Support Coordinate domestic and international business travel, including airfare, lodging, ground transportation, itineraries, traveler profiles, changes/cancellations and travel documentation. Coordinate travel receipts and expense documentation with Accounting; support efficient use of company payment methods, loyalty benefits and travel resources. Coordinate company meetings, employee events, holiday celebrations, team-building activities, executive retreats and morale initiatives. Support executive scheduling, office administrative systems, supplies and selected vendor relationships. Assist with development of internal procedures and Standard Operating Procedures (SOPs), identify opportunities to streamline workflows, and support special projects and organizational initiatives. Qualifications Associate or bachelor's degree in Human Resources, Business Administration or a related discipline preferred; equivalent relevant education, training and experience will be considered. SHRM-CP, PHR or progress toward HR certification is a plus. 2-4 years of progressively responsible HR experience strongly preferred, ideally in a small to mid-sized organization supporting multiple HR functions. Executive/corporate travel coordination experience is a plus. Excellent organization, attention to detail, oral/written communication, interpersonal skills, initiative, resourcefulness, emotional maturity, discretion and ability to manage multiple priorities. Working knowledge of fundamental HR practices and employment-related compliance; proficiency with Microsoft Office and experience with HRIS, payroll and timekeeping systems. Technology & Responsible Use of AI TSG embraces technology, including appropriate AI-enabled productivity tools, as a resource, not a substitute for professional knowledge, judgment or independent work. AI-assisted work must be independently reviewed for accuracy, appropriateness, confidentiality and compliance, and confidential or protected information may only be used in accordance with company policy and privacy requirements. Professional Presence & Physical/Scheduling Requirements Consistent on-site attendance, punctuality, professional demeanor and appropriate advance communication regarding schedule changes are required. The position must be able to perform essential office functions, lift/carry up to 20 pounds, assist with events that may require extended standing, and occasionally be available for evening/weekend events or travel-related needs.
