The Opportunity We are seeking a highly organized and detail-orientedOffice Assistantto join our Costa Mesa office. This is more than a traditional receptionist or clerical position. The person in this role will provide administrative support across several areas of the company, including operations, accounting, compliance, and property management. The ideal candidate is comfortable working with numbers, documents, spreadsheets, and computer systems; can manage multiple priorities; and takes pride in producing accurate, complete work. We are looking for someone who can learn quickly, exercise good judgment, and become a reliable resource for the team. What You'll Do Provide administrative support to multiple departments, including operations, accounting, and compliance. Answer and direct incoming calls in a professional and helpful manner. Perform accurate data entry and maintain company records and databases. Organize and maintain physical and electronic files. Assist with bookkeeping functions, including coding invoices, entering financial information, reconciling records, and maintaining supporting documentation. Assist with accounts payable processing and other accounting-related administrative functions. Prepare correspondence, reports, spreadsheets, notices, and other business documents. Review documents and information for accuracy and completeness. Assist with property management and compliance-related documentation and recordkeeping. Coordinate with team members to obtain missing information, documentation, and approvals. Support special projects and changing operational needs as they arise. Help maintain efficient office procedures, systems, and workflows. Perform additional administrative duties as needed. Previous administrative, bookkeeping, accounts payable, property management, or office experience is required.
